Job Description

Provides administrative support to project administration and project management. Maintains neat, orderly, complete documents and project files. The project administrative assistant will be responsible for facilitating, reporting, and analyzing projects and all relevant documents under the supervision of a project administrator.

This position requires excellent multitasking and customer service skills. Joining our team means joining a group of individuals who seek to constantly improve processes and help each other grow. Must be willing and open to embrace changes and adapt to new strategies, and have a can-do attitude. This position is not remote. Monday-Friday 8:00 AM to 5:00 PM. One 4-hour shift on Saturdays every 6 weeks.

Assists with Project Administration under the Contracting Department by performing the following:

  • Aid in the preparation of project proposals, invoices, and relevant project documentation.
  • Maintain accurate records of all information related to projects for documentation, clarification, and presentation to management.
  • Liaise with clients to identify and define project requirements, scope, and objectives.
  • Assist in monitoring and tracking project progress, scheduling, and project status.
  • Offer general assistance to Project Administrators and Project Managers as needed.
  • Provide support with miscellaneous data entry.

Performs general administrative duties to the Office Administration by assisting with the following:

  • Answering, screening, and directing telephone calls.
  • Assisting with related clerical duties such as photocopying, faxing, filing, and collating.

Other duties may be assigned.

Education and/or Experience - Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

Language Skills - Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills - Ability to add, subtract, multiply, and divide all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.

Reasoning Ability - Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills - To perform this job successfully, an individual should have knowledge of Excel Spreadsheet software and Word Processing software.

  • Able to work under constant pressure and perform well in order to complete the required targets. 
  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. 
  • Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files, and records, stenography and transcription, designing forms,
  • English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Ability to adapt to changing organizational and operational needs.

Additional Information

While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and color vision. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles. The noise level in the work environment is usually moderate.
