Job Description

Job Summary:

At KordaMentha, we foster a culture of innovation, collaboration, and excellence. We’re looking for a proactive and organised Executive Assistant to directly support our Auckland based Senior Leaders in driving success and achieving ambitious goals.

In this key role, you will provide high-level support to our executives and their teams, managing calendars, coordinating meetings, handling travel bookings, and ensuring smooth daily operations for the general office. This role offers a unique opportunity to work closely with senior leaders in a dynamic and high-impact environment as our Auckland team continues to expand. You will play a pivotal role in strengthening our market presence and establishing our brand by serving as the primary coordinator and organiser of marketing events across Auckland, both in and beyond the office.

 

Key Responsibilities:

  • Manage diaries and schedules for Senior Leaders, including coordinating meetings and appointments.
  • Organise meetings and events (book meeting rooms, arrange catering, set up technical support, and handle phone/video conferencing).
  • Support marketing and client engagement by organising client functions/events, record activities in CRM, and keep CRM updated.
  • Prepare documents and presentations, such as PowerPoint decks, reports, letters, spreadsheets, expense reports and other correspondence for Senior Leaders.
  • Coordinate with VIP/C-suite clients and their Executive Assistants for meetings and luncheons.
  • Arrange travel itineraries, book flights, accommodation, and process visas/passports as required.
  • Manage incoming calls, emails, and correspondence promptly and direct appropriately.
  • Assist with client job management, review WIP/Debtor reports, provide ad hoc reporting, and ensure credential documents are completed post-engagement.
  • Assist with invoicing, onboarding/offboarding engagements, maintain intranet data, document finishing and mail-outs.

Qualifications

Qualifications, skills and attributes:

Required:

  • 3+ years’ experience as an Executive Assistant with strong client service orientation. Experience within professional or financial services or law is highly regarded.
  • Proactive and adaptable, taking initiative and ownership of tasks with flexibility in changing priorities.
  • Professional communication skills, excellent telephone manner, strong verbal and interpersonal abilities.
  • Highly organised and detail oriented, able to manage multiple priorities and deadlines under pressure.
  • Advanced Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook) and confident with CRM, SharePoint, and video conferencing tools.
  • Ability to work independently and collaboratively within a dynamic team environment.
  • Well presented and professional in all interactions with clients and stakeholders.
  • Strong attention to detail and hands on approach to tasks.
