At KordaMentha, we foster a culture of innovation, collaboration, and excellence. We’re looking for a proactive and organised Executive Assistant to support our leadership team in driving success and achieving ambitious goals.
In this key role, you will provide high-level support to our executives and their teams, managing calendars, coordinating meetings, handling travel, and ensuring smooth daily operations. This is a unique opportunity to work closely with senior leaders in a fast-paced, impactful environment.
Key Responsibilities:
- Manage diaries, arrange meetings, and communicate with VIP clients and C-suite executives.
- Prepare presentations, reports, and correspondence for senior leadership.
- Coordinate travel and accommodation for executives.
- Organize client functions, marketing events, and meetings, including technical setup and catering.
- Handle incoming calls and emails, ensuring prompt action and follow-up.
- Assist with invoicing, WIP reports, and CRM updates.
- Prompt ordering of ASIC and document searches via the search service desk.
- Assist with group projects and research requests as required.
- Support interstate teams with meetings and events coordination.
- Provide general administrative support, including document preparation, photocopying, and creating reports.
Qualifications
- At least 4-5 years' experience in a similar role.
- Exceptional organisational skills.
- Ability to interact in a professional manner at all times.
- PC proficient including advanced Microsoft Office (Word, Excel, PowerPoint and Outlook).
- Confident in multiple technology systems including CRM, SharePoint and video conferencing.
- Ability to multi-task, manage and achieve multiple deadlines.
- Ability to work well under pressure.
- Ability to manage areas of responsibility and take initiative.
- Ability to work independently as well as part of a busy and dynamic team.
- Strong verbal, interpersonal and communication skills.
- Flexibility, in relation to working hours, as well as being able to change priorities and tasks as required.
- Strong attention to detail.
- Ability to adopt a ‘hands on’ approach.
