Kenn Borek Air (KBA) is a diversified worldwide aircraft charter and leasing operation.  The KBA Flight Operations team is currently seeking a Flight Operations Administrator.  This position is based in Calgary, AB.  This full-time position is based in Calgary, AB working Monday to Friday. Please note that remote work is not an option for this posittion.

Job Description

The role of Flight Operations Administrator reports to the Chief Pilot while working with all members of the Flight Operations Management team, including the Flight Operations Quality Manager to provide general administrative support.

This position performs a wide variety of administrative support services, ranging from complex to routine, and may work independently with little or no supervision.  It is expected that the incumbent has a genuine appreciation for and understanding of protocol, and discretion, can accept and assume responsibility, and can interpret and make decisions by prescribed procedures and practices of the organization.  The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.  Expert written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.

Major Responsibilities of the Role:

  • Release a weekly pilot rotation and training schedule; updating each as operational requirements dictate; ability to project the impact of decisions taking into consideration the diverse locations of aircraft and flight crew members to problem solve and schedule effectively;
  • Coordinate with Training, to set up all travel required for third-party training as determined by the monthly training schedule.  Third-party training would include but is not limited to, a simulator, first aid, and fire extinguisher;
  • Provide administrative support to managerial positions within Flight Operations including memo drafting, formatting, and preparation for release within the established protocol, procurement and release of various charts, release, and tracking of COM and SOP amendments, adding and removing accounts to company Foreflight account as needed and distribution and updating of any required documents such as the AFIM, Almanac, MSDS, etc.;
  • Interact with various departments to establish daily, weekly, and/or monthly domestic travel requirements.  This position will be responsible for domestic pilot travel and all international travel required for company personnel regardless of department;
  • Direct booking of flights, hotel accommodations, and necessary arrangements for other travel-related needs; designs and provides alternatives for employee travel; monitors for deviations from the original movement of individual or aircraft and makes corresponding adjustments to travel requirements;
  • Verifies current travel requirements for destination such as but not limited to immunizations, visas, etc.; interacts with employees to ensure they are aware and in possession of all travel documentation required for the final destination and all layover countries while en route;
  • Maintain and distribute weekly aircraft location reports;
  • Responsible for documentation and notification to required departments of resignations and terminations within the department;
  • Understanding of and the ability to support the onboarding process and new hire documentation;
  • Manage Sat Tracking/Data account users.
  • Initial review of pilot timesheets for completion before cut-off dates with an emphasis on daily entry accuracy;
  • Development and maintenance of quick reference documents outlining contract specifics/client information for each contractual obligation;
  • Develop and maintain a position reference guide (manual) covering primary responsibilities;
  • Responsible for the timely application, receipt of, and/or release of ferry flight permits, fuel releases, and COM/SOP revisions;
  • Monthly reconciliation report for travel cost breakdown as required per contract;
  • Provide administrative support and coverage to Reception, Maintenance Administrator and ,Executive Assistant; and all other duties as assigned.

Qualifications

  • Detailed knowledge of the CAR’s and OHS regulations
  • Extensive knowledge in geography
  • Advanced skills in Microsoft Suite (Word, Excel, PowerPoint etc.)
  • Experience scheduling cost effective travel arrangements 
  • Aviation experience an asset
