Job Description
KSI Auto Parts: are seeking a highly organized and detail-oriented Dispatch & Invoicing Coordinator to manage the dispatching and invoicing of drivers, ensure efficient routing, oversee stock transfers, and support warehouse operations. The ideal candidate will have strong multitasking abilities, excellent communication skills, and a keen eye for accuracy.
Responsibilities:
- Assist in leading the team of 20+ CDL and Non-CDL drivers
- Address any challenges that may arise during the shift
- Maintain constant communication with drivers to ensure smooth operations
- Track shipments in real time, and report any delays or emergencies promptly to the relevant parties
- Utilize tools such as Descartes, Geotab, and the Microsoft Suite of products
- Prepare and send daily end-of-shift reports with timeliness and accuracy
- Communicate effectively with internal teams and external customers to ensure timely and accurate deliveries, fleet performance goals are being met, and operations are maintaining efficiency
- Ensure strict adherence and compliance to company policies, safety regulations, and DOT and FMCSA rules and regulations
- Oversee the Hours of Service (HOS) and Daily Vehicle Inspection Report (DVIR) programs
- Perform other duties as assigned as business needs change
- Assist with offloading and loading trucks when needed
- Rearrange and optimize driver routes as needed.
- Prepare secondary routes to accommodate changes.
- Verify driver racks to ensure all parts are dispatched correctly.
- Investigate and resolve any discrepancies in leftover parts.
Qualifications
Order Processing & Documentation:
Print and organize Sales Orders (SOs) and Stock Transfers. Generate and print route manifests. Separate SOs into designated cubbies for assigned routes. Label and verify parts in the shop. Handle receiving processes for shorted parts, ensuring proper reconciliation with incoming shipments from Houston. Assign and track B & D routes for pickers. Export manifests to Excel and update the Stock Transfer Spreadsheet. Mark all "Can’t Finds" on the Stock Transfer Spreadsheet. Ensure Sales Orders and Stock Transfers are processed accurately within the OS Scan system.
OS Scan Processing:
Pick and scan Sales Orders in the OS Scan system using sales order numbers.Process Stock Transfers by scanning sales orders, transfer orders, and pick transfers.Ensure proper reconciliation of scanned items.Stage items at blue cages in OS Scan for loading transfers.Load and reconcile transfer orders at designated transfer docks.
Administrative & Support Duties:
Answer and assist phone calls promptly. Check stock availability for "Can’t Finds" and clear out inventory trays. Assist the warehouse team with inventory and OS Scan-related issues. Respond to emails efficiently and professionally. Work on and clear Open Sales Discrepancies (OSD). Add orders to the OSD and void orders as required. Handle ghost orders as needed. Monitor and manage the Open Order Report. Write or print RMAs for returns.
Closing Duties:
Ensure cages are properly staged in designated areas for operations. Label cages for Houston & Dallas shipments. Secure prior day’s SA driver paperwork in a sealed red packing folder for accounting. Place Dallas and Houston manifests in respective cages with red packing folders.

Compensation:
Hourly rate ranging $19- $21/hr based on experience

While performing the duties of this job, This position requires sitting, standing, walking, lifting, pushing, pulling, bending, climbing, and ascending/descending stairs. Requires sitting for relatively long periods of time, while driving. It also requires frequent bending, climbing, movement, and lifting of up to 75 pounds during the physical loading/unloading of vehicles and when stocking products. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.
