Job Description
Position Overview:
The Office Clerk partners directly with staff, students, and families of KIPP KC and is responsible for maintaining operational excellence at the school’s main office. As a key member of the School Operations Team, the Office Clerk supports daily administrative, clerical, and customer-service tasks that ensure a welcoming, organized, and efficient school environment. This position reports to the Director of Operations.
Key Responsibilities:
Front Office, Reception, & Family Support
Warmly greet all students, families, staff, and visitors and direct them to the appropriate person or location.
Answer and route incoming calls; respond promptly to voicemails, emails, and parent messages.
Respond to parent questions and concerns and elevate to the Principal or Operations Leadership when appropriate.
Maintain the professional appearance, cleanliness, and organization of the front office.
Manage mail, packages, faxes, and message distribution for staff and students.
Track all visitors, tours, and individuals entering the building; ensure safety protocols and sign-in procedures are followed.
Support families with questions about attendance, enrollment documents, transportation updates, and general school inquiries.
Attendance & Student Records
Assist with daily attendance tasks, including tardy check-ins, early dismissals, parent calls, and absence documentation.
Maintain accurate student records in Infinite Campus and ensure compliance with KIPP KC and state reporting requirements.
Support enrollment processes by filing documents, verifying forms, and updating student information.
Office Administration & School Operations Support
Sort, distribute, and send mail, packages, and internal communications.
Support student uniform inventory, equipment check-in, and other school-based logistics.
Assist with printing, copying, scanning, and preparing materials for classrooms and school events.
Help track office and school supplies; submit requests for replenishment when needed.
Provide administrative support to the school leadership and operations team as assigned.
School Culture & Safety
Monitor front-desk visitor sign-in procedures and ensure all visitors follow safety protocols.
Uphold confidentiality and follow all KIPP KC policies regarding student and staff information.
Support a positive school culture by maintaining consistent expectations and demonstrating KIPP values.
Desired Experience
Prior experience working in a school, nonprofit, or customer service-oriented environment preferred.
Strong organizational skills with the ability to manage multiple tasks in a fast-paced setting.
Proficiency in Microsoft Office, Google Workspace, and willingness to learn systems such as Infinite Campus.
Excellent communication skills with the ability to interact effectively with students, families, and staff.
Demonstrated commitment to equity, teamwork, and service to the KIPP KC community.
Proficient in speaking, reading, and writing in Spanish and/or Arabic (highly preferred)
Qualifications
Qualifications:
High School Diploma or equivalent
Minimum of 5 years of progressive office experience, with at least 3 years demonstrably successful in a fast-paced school environment.

The candidate is expected to attend conferences, meetings, and training sessions both virtually and in person within the Region.
Work Environment
Reports to work Monday-Friday.
Hybrid: A typical school, office, or virtual environment with frequent interruptions.
Compensation
Our comprehensive compensation package includes life insurance and long-term disability coverage provided by KIPP KIPP KC, voluntary medical and dental plans, in addition to retirement benefits and an annual salary increase. To establish equitable salary practices, the compensation package is derived from the regional KIPP KIPP KC Public Schools pay scale. This position is non-exempt and will follow a 12-month schedule.
