Job Description
Operational Excellence & Logistics Management:
Oversee Daily Operations: Manage the school office and all operational systems, ensuring efficiency and seamless execution. Implement systems to streamline school functions, including attendance, supply management, and facilities upkeep. Proactively solve potential issues before they arise.
Attendance & Data Management: Ensure accurate student attendance in PowerSchool and manage attendance intervention plans. Follow up with parents/guardians to address attendance concerns.
Student Enrollment: Lead student recruitment, manage enrollment processes, and maintain accurate records in Infinite Campus to meet enrollment goals.
Transportation Coordination: Work with the district and bus company to manage student bus routes and resolve transportation issues.
Administrative Support: Handle filing, copy/print needs, maintain supplies within budget, and assist the Director of Operations as needed.
Support to Teachers, Leaders, and Parents:
Logistical Support for Staff: Provide administrative and logistical support to teachers and school leaders, ensuring they have the tools and resources needed to succeed.
School-Wide Coordination: Collaborate with leadership on school initiatives and align operational processes with academic goals. Manage school tours and assist with special events.
Family & Community Engagement: Regularly communicate with parents, coordinate school-wide meetings, and supervise students during meals and dismissal.
Systems Development & Process Improvement:
Optimize Systems: Develop and refine school systems (attendance, inventory, facilities) to ensure efficiency. Continuously assess and improve workflows to maximize time and resources.
Data-Driven Decisions: Use data to assess operational performance and implement improvements that align with the school’s goals
Communication & Stakeholder Management:
Point of Contact for Stakeholders: Serve as the primary liaison for parents, guardians, and external partners. Ensure clear communication around schedules, events, and operational changes.
Vendor Coordination: Manage relationships with external partners (e.g., transportation, custodial) to ensure services meet the school’s needs.
Problem-Solving & Flexibility:
Proactive Problem Solving: Anticipate and address operational challenges before they impact the school day. Remain flexible and adapt to the changing needs of the school.
Qualifications
Qualifications:
Passion for Logistics & Operations: A deep interest in systems, organization, and process improvement.
Experience in School Operations (Preferred): Previous experience working in school operations, administration, or a similar field is a plus, but we are also open to candidates with strong experience in other organizational operations or management.
Problem-Solving Skills: Ability to think on your feet and find creative solutions to unexpected challenges.
Strong Communication Skills: Ability to communicate clearly and effectively with diverse stakeholders, including teachers, students, families, and vendors.
Attention to Detail: A keen eye for detail and a commitment to high standards of quality and accountability.
Team Player & Leadership: Ability to collaborate effectively with school leaders, teachers, and the broader community, while also taking ownership of key operational functions.
Adaptability & Initiative: Flexible and proactive in responding to the ever-changing needs of a dynamic school environment.
Additional Information:
This is a full-time, 12-month position, requiring 40 hours per week, Monday through Friday. Occasional Saturday work may be required based on school needs. The Director of Operations will determine start and end times, however regular school hours are 8:45a - 3:30p
The Operations Manager will report directly to the Director of Operations and work closely with the leadership team to ensure the smooth daily running of the school.
