Job Description

The Operations Coordinator partners directly with staff, students, and families of KIPP Nashville and is responsible for maintaining operational excellence at the school. The Operations Coordinator is a key member of the school’s Operations Team. The Operations Coordinator manages 1 Office Manager and reports to the Director of Operations at their school site.

Responsibilities of the Operations Coordinator include, but are not limited to:

School-Wide Operational Systems, Events, & Communication

  • Lead family engagement initiatives including Parent Involvement Committee, family events, and family newsletters 
  • Coordinate with operation team members, staff, and grade level chairs on the planning and logistics of grade-level and school-wide field trips
  • Coordinate and support at school-wide events, including some events outside of school hours.
  • Coordinate student uniform system, inventory, and purchasing
  • Coordinate student and staff supply inventory, purchasing, and distribution 
  • Create a warm, welcoming environment for all students, family, staff, and visitors.
  • Utilize project planning templates (docs, excel, canva, other tools) to backwards plan school events based on a given vision
  • Facilitate seamless communication with families via social media, flyers, call-outs, etc.
  • Facilitate seamless communication with all school level stakeholders to support in execution of school events to include: communication with school staff, facilitating planning meetings, ongoing email and direct communication as needed
  • Engaging staff in proactive and reactive feedback on the execution of Family Engagement Events

Attendance Strategy and Management 

  • Ensure attendance systems and procedures are effective and efficient 
  • Ensure compliance with all attendance policies and procedures
  • Create and execute attendance plan to ensure student attendance goals are met 
  • Plan and execute attendance team meetings and attendance review board meetings 

Student Information & Data Management

  • Manage the accurate and timely delivery of quarterly report cards, weekly progress reports, and attendance letters.  
  • Maintain the accuracy of our multiple student information systems (SIS) in a variety of areas such as enrollment, scheduling, grades, and transcripts.
  • Manage a variety of attendance initiatives including school-wide incentives, attendance plans, truancy, and parent meetings.

Technology and Assessment

  • Inventory, manage, and maintain all student, staff, and classroom technology to ensure students and staff have what they need
  • Help plan and coordinate all aspects of student testing including but not limited to Interim Assessments, MAP, and State Testing

Student Recruitment and Enrollment

  • Work alongside the Director of Operations on student recruitment
  • Manage application process and ensure smoothly enrollment for all new families  
  • Collaborate with the Director of Operations, enrollment team, faculty, and staff in planning school-based open houses, enrollment information meetings, and other school-based recruitment events.
  • Partner with feeder schools to ensure smooth transition of newly enrolled families

Finance and Procurement

  • Receive purchase order requests and seek appropriate approval
  • Purchase supplies as approved & document purchase
  • Collect and track student fees, uniform purchases, and all other monies weekly
  • Code invoices and purchases

School Operations Support

  • Ensure the school building is well maintained, through building walkthroughs and handling of maintenance requests
  • Provide front office coverage as needed
  • Manage Office Manager to ensure effective and efficient office systems, routines, and databases.
  • Make and track all school purchases accurately and in a timely manner
  • Ensure proper coding and payment of all invoices and credit card purchases

Qualifications

  • Bachelor’s Degree preferred 
  • Two or more years of work experience highly preferred 

  • 2+ years experience in K-12 school operations strongly preferred; prior experience as a teacher a plus

  • Experience working with under-resourced communities, families, and/or students

  • Demonstrated success in building relationships and trust with leaders, teachers, students, parents and community

  • Demonstrated success with design and execution of logistics

  • Proficiency in Spanish and/or Arabic preferred

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and Google applications (Sheets, Docs, Google Drive), with the ability to quickly learn new technologies (Infinite Campus, Slack, video conferencing apps, etc.)

Additional Information

Compensation and Benefits

  • Salary is competitive, commensurate with experience, and includes benefits. This position is exempt, and will work and be compensated according to a 12 month administrative schedule.

  • Robust benefits package including medical, dental, vision, disability, and life insurance policy options. Application for these benefits may be made immediately upon employment. The policy is effective upon the first of the month following the first day of work.

  • The vacation package for salaried employees includes 29 paid days throughout the 12 month work schedule (including holidays, fall break, thanksgiving break, winter break). In addition, employees in this role are allotted 6 PTO days. Employees are allotted an additional 2 days after every 2 consecutive years of employment. Eligible staff members receive payment for unused PTO days at the end of the fiscal year.

  • Adoption/Parental Caregiver Leave- up to 10 weeks parental leave for the primary caregiver and 2 weeks parental leave for the secondary caregiver paid at 100%.

  • Leaders are provided with laptop computers with access to the internet and or email to assist them in performing their job responsibilities.
