Here' what you should know:

The School Operations Coordinator plays a critical role in delivering excellent communication and customer service to families and visitors. The School Operations Coordinator is the first face many parents, students, and community members see when they walk into a building, and create a warm and inviting atmosphere in our main office. They also play a critical role in smooth and safe school operations as a key executor of operations priorities.

Here's what you'll be doing:

Outcomes

  • 3.0 or higher average annual score on Ops EKG based on network priorities
  • XX% average daily attendance and less than X% chronic absenteeism 
  • 100% of students registered and enrolled by start of school year and enrollment targets maintained throughout the school year  
  • 100% of visitors sign into school securely and are given badge/sticker
  • 85% or higher on TNTP Insight Survey question: my school has established systems that ensure families are well-informed about the school.

Key Behaviors & Activities

  • Perform administrative responsibilities including answering door buzzers and phone calls, directing callers to the appropriate person or school, taking messages, and relaying messages to all entities
  • Greet visitors, determining their needs and providing accurate information or connecting them with the appropriate stakeholder 
  • Maintain visitor management system, including administrative views, supporting families with using the kiosk, maintaining supplies, auditing rosters, and escalating any issues as needed 
  • Handle family concerns and questions in a prompt and appropriate manner, and escalate when necessary
  • Act as a strong, positive day-to-day interface with the school community, representing our values, mission, and philosophy at all times
  • Support school-wide communication efforts including maintaining front office fliers and supporting preparation and distribution of schoolwide communications
  • Maintain accuracy of information systems including contact information, attendance, early and late pickup, bus ticket tracking, and owns dismissal changes and communication of this information to stakeholder, as relevant 
  • Receive mail and deliveries and ensures items are appropriately distributed
  • Contribute to school-wide events, projects, and responsibilities of the operations team 
  • Maintain a clean, organized and well-functioning office environment
  • Contribute to school readiness for the start of the school year and throughout key school operations milestones throughout the year 
  • Participate in operations team and school-wide work towards attendance priority, including attendance calls, data review, communication, and planning 
  • Maintain workroom and office technology
  • May contribute to Tier 1 Technology support
  • Collect enrollment compliance paperwork, including health, residency, and household income surveys alongside other members of the operations team 
  • Maintain student files 
  • Contribute to school-wide enrollment work, including family calls, intent to enroll, registration, open houses
  • Inventory, purchase, and restock teacher supply bins and workroom supplies
  • Participate in school-wide systems, such as arrival, meals, and dismissal 

Qualifications

Must Haves:

Skills

  • Excellent organizational and communication skills (both written and oral)
  • High proficiency in Microsoft Office, Google Suite, and keyboarding

Abilities

  • Perform duties with a high degree of professionalism, customer-service, and positive energy
  • Can work with a team on collaborative projects
  • Remain calm, flexible, and solutions-oriented in high-stress situations, competing priorities, and external pressures 
  • Do whatever it takes to ensure our tea

Nice-to-Haves

  • Previous experience in a customer service-oriented role
  • Previous experience in an educational or non-profit setting
  • Proficiency in Spanish; may be considered a “must-have” depending on population served
  • Bilingual proficiency in other languages represented in population
  • Bachelor's degree
