Job Description
ROLE OVERVIEW:
KIPP Texas is seeking an Executive Assistant committed to educational equity and passionate about creating joyful, academically excellent schools. Reporting directly to the Chief Advancement Officer (CAO), the Executive Assistant plays a crucial role in advancing organizational priorities through providing executive support and serving as the primary point of contact for internal and external stakeholders on all matters pertaining to the Chief Advancement Officer. In this dynamic role, the Executive Assistant will act as a liaison to the KIPP Texas Advancement Team. The Executive Assistant will be involved in special projects as designated by the Chief Advancement Officer. The ideal candidate for this position must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-oriented, and community-oriented. The individual should demonstrate the ability to exercise good judgment in various situations, with strong written and verbal communication, administrative, and organizational skills. The Executive Assistant must maintain a
realistic balance among multiple priorities, work independently on projects from conception to completion, and handle a wide variety of activities and confidential matters with discretion, even under pressure. -Seamless Schedule Management: The CAO's calendar is consistently well-organized, with timely scheduling, clear priorities, and efficient coordination of meetings, allowing for focused and productive work.
-Effective Administrative Support: Complete a broad variety of administrative tasks that enhance the CAO's ability to lead effectively. Success is demonstrated through the seamless execution of administrative responsibilities.
-Prioritize and Troubleshoot: Prioritize inquiries and requests while proactively troubleshooting conflicts. Success is evident in the ability to make sound judgments and recommendations that ensure smooth day-to-day engagements, fostering a positive and efficient work environment.
Executive Support to the CAO
● Manages an active calendar of appointments, completes expense reports, and prepares correspondence, including confidential matters.
● Coordinates complex travel plans, itineraries, and agendas, providing the CAO with a
comprehensive weekly plan.
● Compiles documents for meetings and anticipates, researches, prioritizes, and follows up on incoming issues and concerns addressed to the CAO.
● Acts as a “gatekeeper”, facilitating direct access to the CAO's time and serves as a bridge for smooth communication between the CAO's office and internal departments.
● Communicates directly on behalf of the CAO with internal and external stakeholders
● Provides leadership to build crucial relationships, manages special projects for the CAO, and keeps them well informed of upcoming commitments and responsibilities.
● Successfully completes critical aspects of deliverables, including drafting correspondence, to facilitate the CAO's effective leadership.
● Collaborates with the Advancement team in coordinating the CAO's outreach activities.

Qualifications
Required Education and/or Experience:
● Bachelor's degree required or equivalent work experience.
● 5 years of work experience supporting C-Level Executives, preferably in a non-profit organization.
● Experience and interest in internal and external communications, partnership development, and fundraising.
● Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms.
● Strong organizational skills that reflect ability to perform and prioritize multiple tasks adapt to competing demands, with excellent attention to detail.
● Skilled at delivering the highest level of customer/client service to a wide variety of internal and external stakeholders.
● Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
● Proven ability to handle sensitive and confidential information with discretion.
● Expert level written and verbal communication skills.
● Strong decision maker, taking proactive approaches to problem-solving and recommending solutions.
● Forward looking thinker, who actively seeks opportunities and proposes solutions.
● Emotional maturity.
● Highly resourceful team-player, with the ability to also be extremely effective independently.
● Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
