Job Description

The Office Coordinator II is responsible for assisting the Office Coordinator and the  Assistant School Leader of Operations in the day-to-day operations of the school. The OC II will have a significant role in ensuring efficient office operations while providing exemplary customer service. In addition to maintaining the school’s administrative systems and routines, the OC II will support with collecting, documenting, and analyzing student attendance data. 

Position Type: Full Time, Exempt, 10-months, ESSER role

Grant funded through the end of the 2023-2024 school year

On a day-to-day basis, you can look forward to the following:

  • Communicate with Parents or Guardians, Students, and staff in person, by phone, email, or by letter for the purpose of providing information on a variety of attendance issues and meeting district and state absence notification requirements.
  • Maintain attendance records, schedules, and files for reliable information in compliance with KIPP St. Louis Public School Policies.
  • Oversee student late arrivals and early dismissals with appropriate information tracking and notification. 
  • Along with the Registrar, lead communication for absent or truant students and respond to inquiries from a variety of stakeholders (including staff, parents, probation officers, other schools or districts, and students) for the purpose of providing information or directions as may be required.
  • Process materials and documentation (ie. Attendance reports, student placement, disciplinary or suspension notices, etc.) for dissemination to appropriate parties.
  • Assist other personnel as needed to support the overall needs of the school
  • Oversee school’s main office duties (incoming calls, faxes, copy machines, files, mail, deliveries, etc.).
  • Coordinate parent requests for student early dismissal and transportation changes to ensure that proper dismissal process is followed.
  • Welcome, and direct visitors as needed and assure the proper check-in process is followed.
  • Deliver and respond to parent messages within 24 hours and check voicemails daily.
  • Assure that delivered packages are received at the front office and delivered to appropriate teachers.

Student Information Management

  • Maintain completeness and accuracy of all student records.
  • Maintain and update student data and information via the Student Information System.
  • Support the Director of Operations, Assistant School Leader of Operations, and School Leader with any additional student reporting or paperwork.
  • Serve as the Student Information System coordinator and point person for support.
  • Process student withdrawals and registration.
  • Expedite all inbound and outbound record transfers and requests.

Parent and Stakeholder Communication

  • Maintain communication systems with families, acting as parent/community liaison (phone, email, in person).
  • Assist staff in the preparation of any parent newsletters and notices.
  • Maintain all school postings and newsletters on site.
  • Set up parent conferences as needed.
  • Deliver mass phone, email and/or text messages to families as needed.

Recruitment & Enrollment

  • Manage all incoming applications and enrollment paperwork.
  • Support student recruitment 
  • Assist in lottery preparation as needed.
  • Assist with New Student/Parent Orientation (scheduling, enrollment packets, leading small groups).
  • Create and manage files for all new incoming students.

Office Maintenance and Orders

  • Ensure that office materials are organized, stored neatly, and remain accessible to students/staff/parents.
  • Ensure that the overall office is clean and creates a welcoming environment.
  • Manage and enforce the correct process for approving and ordering all office/classroom supplies.
  • Manage the ordering of supplies and maintenance for all copiers.

Student Health

  • Enforce appropriate procedures for student medication on campus, when the school nurse is not present.
  • In the absence of the school nurse, document any student injuries, including submitting paperwork to insurance as needed.

Finance

  • Collect student fees (such as for uniforms) and provide receipts.
  • Keep consistent and accurate records of weekly funds received.  Complete weekly cash verification with the School Operations Manager
  • Manage and ensure the safety of the cash box, and lock up funds daily in the front office safe.

Other

  • Perform other duties and special projects as required and assigned, as well as attend and assist in school events as needed.

Qualifications

What you bring to the table: 

  • 2 years of office experience, preferably in a school setting.
  • Bachelor’s degree is strongly preferred.
  • Experience working with data and data systems 
  • Excellent organizational skills.
  • Excellent verbal and written skills.
  • Excellent computer skills, including Microsoft Office (PowerPoint, Excel, Outlook).
  • Experience working with Student Information Systems strongly preferred.
  • Proven track record of exemplary customer service.
  • A passion for working in the city of St. Louis and a passion for the mission of KIPP St. Louis.
