Job Description
The Manager of Facilities Projects & Contracts is responsible for ensuring that all KIPP Texas students have access to clean, safe, and well-maintained facilities & grounds within one or more cities (“Regions”). The Manager of Facilities Projects & Contracts will report to the Director of Infrastructure & Capital Planning, State Facilities Services. The Manager of Facilities Projects & Contracts will be responsible for all facilities capital projects statewide, contract administration for all custodial and maintenance vendors, will partner directly with Construction for new builds and liaise with the Procurement Department to ensure that our financial practices are followed. The Manager of Facilities Projects & Contracts will do this by developing and implementing scalable processes & systems for managing projects and vendor accountability, guiding the team towards efficiencies, and supporting day-to-day challenges while driving customer service excellence across KIPP Texas.
Key Responsibilities
- Evaluate and document the facilities capital needs of all assigned facilities; making recommendations/decisions to prioritize expenditure as required
- Coordinate with Facilities leadership team and Team Finance to plan execution of work per 30 year capital maintenance plan on an annual basis
- Lead project management efforts for all facilities capital projects & support regional/campus operations for all major repair or replacement projects
- Create and lead the annual process for aggregation, approval and prioritization of school improvement projects for existing buildings.
- Serve as a ‘technical expert’ for regional & campus based facilities teams concerning repair & maintenance replacement issues, providing the necessary direction or ownership as required for resolution.
- Attract, develop, qualify and monitor state/regional contractor/vendor base to support all facilities related operations
- Manage facilities related annual contracts administration requirements and acts as the Procurement liaison
- Ensure that the proper financial controls are in place and are used for bidding, capital submission and work justification
- Create, assist and support the greater facilities team by creating project plans implementing gantt charts and critical paths methods to ensure projects are completed on time and within budget
- Collaborate with facilities service partners (custodial, maintenance, etc) to deliver high quality services per scope of work and contractual agreements
- Assist or liaise with members of the Construction team for all new builds
- Develop strong relationships with Ops Leaders (Regional Directors of Facilities, Academics and SSP) by providing ongoing updates for projects, vendor performance and financial support
- Execute CMMS related activities as they relate to capital projects or major repair updates
- Coordinate with Sr. Coordinator, Facilities Services to assist with planning relocation activities as required
- Travel as needed to KTX regions statewide
- Take on additional roles and responsibilities as assigned
Managing People
- Responsible for overall team management, performance reviews, and staff development with direct reports and in collaboration with others for in-direct reports
- Create career development plans for direct reports to ensure personal and professional growth of facilities team
- Build relationships and lead by example
- Establish a data-driven culture that tackles challenging problems and verifies the results with measurable data
Qualifications
Skills and Qualifications
- Minimum of 7 years of facilities / maintenance experience, working knowledge of facilities, construction, finance, procurement, contract administration and project management
- Ability to lead, manage, and support a large, diverse team
- Excellent interpersonal skills and an energetic attitude; ability to work with all levels of the organization
- Proven ability in stakeholder management, communication and follow through
- Demonstrated track record of operating with a diversity, equity and inclusion (DEI) mindset.
- Exceptional project management skills, with an ability to juggle multiple priorities simultaneously
- Experience in education and/or real estate preferred
- Experience developing, implementing, and refining systems, processes, and/or protocols
- Strong analytical and problem-solving skills; Keen ability to use data in the decision-making process
- Excellent written and verbal communication skills
- Ability to work under pressure and remain calm in the midst of many changing circumstances
- Flexible and entrepreneurial spirit; ability to adapt to the quickly changing needs of KIPP
- Demonstrated interest in continuous improvement

- Experience in education, facilities and construction preferred

- PMP certification or coursework preferred
- High proficiency in Microsoft Excel, PowerPoint, Word, and Outlook
- High proficiency in Google Applications and Microsoft Suite
- Bachelor’s degree required
- English fluency is required; Bilingual (English/Spanish) preferred
- Reliable transportation required (may be required to drive to different facilities or to pick up supplies during the workday)
- Flexibility in work schedule, including occasional nights and weekends

Salary is based on years of experience, degree of education, and level of expertise.
