Job Description
The full-time Regional Facilities Manager will be responsible for providing maintenance, and project management support to our current portfolio of 5 schools across 4 buildings in Camden, NJ.
Responsibilities
The Regional Facilities Manager will be responsible for preserving the good condition of buildings and grounds, infrastructure and assets to ensure that they are safe and well functioning. The Regional Facilities Manager will also be responsible for managing contractors, training new employees and working with third-party vendors. Equally important, the Regional Facilities Manager will be a thought partner in sharing ideas and experiences with others to help extend the useful life of building systems, equipment and infrastructure to enhance the experience of the people using them. Here are some of the primary responsibilities associated with this role:
- Manage all facility related vendors including but not limited to cleaning service, landscaping, snow removal, security, HVAC and Boiler PM’s and building maintenance.
- Manage the upkeep of equipment and supplies to meet health and safety standards.
- Develop an implementation of basic building preventative maintenance tasks (ie replace air filters, grease motors and pumps, blow down boilers, replace motor belts, replace light fixture ballasts, replace receptacles and switches etc.).
- Arrange and procure facilities related professional development training sessions for Operations and Custodial staff.
- Maintain working knowledge of building systems, procedures, and operations. Building systems include mechanical, electrical, plumbing, ventilation, security, communication and Life Safety.
- Inspect daily buildings and grounds to note conditions and address needed work promptly with vendors.
- Schedule and execute all yearly inspections pertaining to facility systems including, but not limited to, fire alarm, fire extinguishers, fire suppression, mechanical systems, boilers, elevators, burglar alarm and sanitary.
- Manage vendors and contractors for small capital (CapEx) and preventative maintenance projects costing up to $100K.
- Review utilities consumption data and strive to minimize costs.
- Coordinate and facilitate logistics involved with programmatic moves/ changes in school building including cost estimates for labor, material and equipment required.
- Respond to life safety, security and equipment alarms/ notifications (ie Fire and burglar alarm notifications from central station) on a 24/7 as needed basis.
- Maintain and update work order ticketing system daily.
Managing Capital Projects (CapEx)
- The Regional Facilities Manager will work with the Managing Director of School Operations and the Director of Facilities to ensure a successful completion of CapEx projects. Projects performed by outside contractors include but are not limited to:
- Upgrades to the building infrastructure systems, electrical, mechanical, plumbing, building envelope, Security & Surveillance and Fire Alarm.
- General carpentry projects including installation of doors & hardware, new walls, windows, flooring, interior painting and wall repair projects including Asbestos abatement projects.
- Technology projects including installation of A/V equipment, classroom projectors & speakers and PA systems.
Qualifications
Must Haves
- Previous facilities management experience in a school or professional setting
- Knowledge of building systems including electrical, HVAC, plumbing, communication and Life safety
- Experienced in construction best practices including site safety, means & methods, communication and logistics
- Knowledge of Asbestos awareness training required by OSHA
- Current Black Seal license for low pressure boiler
- Experience with reading building drawings (blueprints) and specifications.
- In depth knowledge of Building Management Systems (BMS)
- A valid New Jersey driver's license. Driving a van or box truck furnished by the Region
- Ability to physically lift packages, move furniture, office supplies, etc.
- Ability to utilize various types of electronic and information systems used by the organization—cell phone, computer, email and job tracking system.
- Ability to apply critical thinking and problem solving to surveys, data and analytics provided by the organization.
Implement building maintenance activities:
- Implement and oversee preventative maintenance plans and report any issues to DSO
- Highly capable and comfortable with using power tools and facility related equipment (sewer/ drain snakes, sump pumps, genie lift, pallet jack etc.)
- General carpentry and handyman skills
- Experience using a work order system

Preferred Skills
- Ability to manage a team of 4 or more
- Knowledge of conversational Spanish language a plus
Reporting structure
Each school has a Director of School Operations (DSO) who oversees all school operations including facilities, nutrition, purchasing and finance. The facilities manager will report directly to the Managing Director of School Operations (MDSO) and will collaborate with each School Facility Manager who reports to the respective school’s Director of School Operations. The two will work on all facility related tasks together. The Facilities Manager will also serve as a mentor to the School Facility Manager but will not manage them directly.
