The Opportunity

Reporting to the Director of School Operations,  Senior Associate: Education Management Information Systems (EMIS) and PowerSchool is an integral part of the KIPP Columbus Operations Team  They are responsible for ensuring the optimization of data within our Student Information System (PowerSchool), as well as assist the other coordinators to provide stability and continuity for the district regarding all aspects of EMIS data reporting.  
 
The Senior Associate: EMIS and Powerschool will also collaborate with various local and state agencies to secure relevant information and submit required forms.   They will support and manage the school’s student information database, run queries to extract information, and coordinate data reporting to the Ohio Department of Education. 

Job Description

Responsibilities include, but are not limited to the following:

Student and Family Data Reporting

  • Handle initial processing of all enrollment and data entry of enrollment forms.
  • Handle registration processing, forms, documents and records, and related information for formal student registration; as well as all related data entry.
  • Update student records in PowerSchool and manage data over course of student enrollment across the schools.
  • Assist in establishing and updating permanent student files, the transfer of records and closing out of graduate data files.
  • Provide enrollment reports and support special reporting requests.

Student information System Management (PowerSchool)

  • Assess operation and malfunctions of hardware and/or software applications (e.g. initiate and review system rule changes, review and adjust system data) for the purpose of determining appropriate actions to maintain computer and network operations.
  • Assist other personnel (Leaders, Teachers, Family, Students, Department Staff) (e.g. troubleshooting program) for the purpose of supporting them in the completion of their work activities.
  • Collect and complete the required data for the state accounting reports for the purpose of meeting state requirements.
  • Coordinate the collection and processing of data for the state systems for the purpose of ensuring compliance with state reporting requirements.
  • Coordinate with other staff (e.g. master schedules, rollover procedures, lunch/bell schedules, school calendar) for the purpose of completing projects/work orders efficiently.
  • Design report options and/or database applications (e.g. report cards, registration forms, lunch program) for the purpose of providing personnel with information customized to their specific needs.
  • Instruct other personnel (e.g. provides in-service training, set-up individual accounts, issue passwords, and resolve lock concerns) for the purpose of ensuring proper and efficient usage of system and notifying users of system changes.
  • Maintain database program portals (e.g. parental access) for the purpose of providing current electronic information to families.
  • Run maintenance programs daily, weekly and monthly for the purpose of ensuring efficient program operations.
  • Organize, schedule and conduct parent and teacher training sessions on student information systems.

EMIS Reporting

  • Assist in training selected district staff members on automated EMIS procedures and operations, to include data entry and retrieval, error resolution and report generation.
  • Work with district departments to make corrections on required informational reports generated by EMIS or other automated systems.
  • Assess the quality of the data entered as required for each EMIS reporting.
  • Assist in maintaining specialized district codes (course codes, etc.) and conducts the alignment of these codes to mandated State EMIS codes.
  • Attend meetings with the other coordinators as a district liaison for EMIS, including meetings with State Department of Education staff.
  • Attend appropriate system user meetings as a district representative.
  • Perform related work as required, or assigned.

Qualifications

  • Bachelor's degree in business administration, education or a computer technology related field preferred
  • Several years of experience as an analyst or similar position
  • General knowledge of, or ability to quickly learn, the State of Ohio's Educational Management Information System (EMIS) operations.
  • Good knowledge of computer technology applications and utilization.
  • Ability to effectively communicate, verbally and in writing with personnel within and outside the district, to include dealings with middle to senior levels in the State Department of Education and District staff.
  • Demonstrated ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions
  • Commitment to building relationships and trust with leaders, teachers, students, parents, and the community of Columbus
  • Adept at thinking strategically, translating plans into action, and exhibiting excellent judgment
