About The Position

This is an upscoped Executive Assistant role. In this role, you will report to Shavar D. Jeffries, the new CEO of KIPP Foundation. Shavar is a civil rights attorney, an executive leader, having led large governmental and nonprofit organizations, and a preeminent advocate for educational excellence and justice. He has been a part of the KIPP family for over two decades, serving as founding Board Chair of KIPP Newark, a KIPP Foundation Board Member and, perhaps most importantly, a KIPP parent. He will partner with the KIPP Foundation and Regional Teams to drive KIPP forward as it relates to its foundational promise of delivery academic opportunities that empower young people to fulfill their potential and change the world.   

KIPP Foundation is hiring for the Manager, Executive Administration to the CEO. This role is well suited for someone who is extremely organized and a proactive problem solver, with the ability to navigate competing priorities in alignment with and on behalf of the CEO’s needs, travel schedule and calendar. In the role, you will be a critical part of our work to realize KIPP’s vision and mission. It requires a strong culture leader who can hold sensitive information in confidence, demonstrate strong judgment, foster a positive, thriving work environment, and who is dogged about getting things done fastidiously and promptly.   

Exceptional communications skills and meticulous attention to detail will be needed daily and we will rely on you for flexibility and foresight. The position is ideal for those who thrive in stewarding an executive leader with excellence and representing the Office of the CEO in a manner that always honors our students, alumni and school communities. 

Key Responsibilities and Duties

  • Manage and execute scheduling for the Chief Executive Officer, including preparing meeting agendas, briefing materials, emails, calls, team meetings, travel arrangements, in-person team meetings and other logistics; this function also encompasses ensuring the CEO has relevant supporting materials from other departments in a timely fashion 
  • Perform administrative and office support, such as typing meeting minutes, dictation, spreadsheet creation and maintaining a strong filing system and contact database 
  • Coordinate the attendance and preparation of internal leaders across teams and departments for critical meetings  
  • Oversee and manage compliance matters, including expense reporting to ensure timely reimbursements/payments for the Office of the CEO, tracking contracts and other matters of financial importance 
  • Maintain the utmost professionalism and strict confidentiality with all materials, at all times  
  • Work on special projects, in alignment with business needs, as well as your strengths and career interests; projects may include, but are not limited to, knowledge management projects, coordinating internal and external communications, planning team events, finalizing board meeting documents and coordinating organization-wide initiatives with other Executive Assistants at KIPP Foundation 
  • Serve as a collaborative member of the KIPP Foundation Executive Assistant community that will be charged with work that impacts the enterprise-wide health & well-being; operating as an ambassador to the chief you directly support as well as an ambassador to Executive Chief team.

Experience and Qualifications

  • 2+ years of experience working with schools, students or organizations focused on education equity is highly preferred 
  • 5+ years of experience in an administrative role, supporting a senior executive responsible for a large team   
  • Advanced skills in Microsoft Office (Outlook, PowerPoint, Word, Excel, Teams) and other office productivity tools, with aptitude to learn new software and systems  
  • Proficiency with AnyBill, Concur, ADP, HRIS and video conferencing systems a plus  
  • Professional acumen and experience working directly with senior leaders and executives

Work Conditions

  • Travel requirements: 10-25% travel is expected for this role
  • Full Time, Exempt

Location 

It is preferred, but not mandatory, for this role to be based out of KIPP Foundation’s New York office. This role has the option of working hybrid at the discretion of the CEO.

Compensation and Benefits 

This salary range for this position is $80,000 - $95,500, commensurate with experience.
