Job Description

This position will be based in our regional offices in Jacksonville, FL. The position is face-to-face. This role would ideally start immediately. 

POSITION OVERVIEW
Reporting to the COO, the Controller manages key accounting functions, including cash management, bank relationships, accounts payable, accounting system transaction entries, audit preparation, financial reporting, and other tasks that ensure timely and accurate completion of day-to-day, monthly, and annual accounting functions in accordance with KIPP standards and GAAP accounting requirements across the organization’s multiple financial entities. The Controller produces accurate and timely reports, implements improved processes, upholds compliance, and provides a high standard of customer service. Reporting to the COO, the Controller serves on the larger regional operation team and manages a Finance Associate.

The role is a full-time role that reports to the COO on the shared services team and is part of the larger operations team that supports schools. As a member of the shared services team, this individual would be responsible for doing whatever it takes to ensure that students develop the knowledge, skills, and character strengths they need to succeed throughout their education and in the competitive world beyond.

This position is year-round and performs duties as assigned by their manager. Typical hours are 8:00 a.m. to 5:00 p.m. but can vary based on role and season.

SPECIFIC DUTIES

  • Purchasing & Accounts Payable: Develop, monitor, and supervise disbursement and purchasing functions; audit invoices; maintain vendor files and relationships; and resolve vendor account inquiries and reconciliations. Develop and reassess vendor supply relationships to ensure cost effectiveness. Manage Finance and Operations Associate and external accounts payable service (Procruify).  
  • Public Grants: Manage public grants accounting, reporting, and financial compliance. Accrue or record public grant and per pupil tuition revenue. Ensure public grant revenue submittals and collections. Oversee grant management consultant, including preparation of requests of funds from grantor agencies. Track and review payments charged to grants for conformity to budget and reconcile and monitor receivables
  • Systems & Policies: Develop policies, procedures, and internal controls. Assist in performance of internal audits of procedures and ongoing assessment of internal controls. Monitor and maintain accounting operations policies and procedure manuals. Communicate related expectations clearly to staff.
  • Audits: Manage relationships with auditors. Oversee year-end closing and coordinate preparation of annual audits. Assist in the preparation and coordination of schedules for A-133 audit.
  • General Accounting Functions: Perform a variety of accounting functions, including preparing journal entries to record accounts/grants receivable and payables activity and payroll for all KIPP Jacksonville legal entities.
    • Manage month end close process to ensure timely and accurate reporting. 
    • Maintain the general ledger chart of accounts.
    • Update and maintain Accounting Policies & Procedures.
    • Make adjustments to any accounts (prepaids, accruals, etc.). 
    • Check run reports. 
    • Draw / Repay bank Line of Credit. 
    • Enter and post credit card activity and payments. o Enter and post debit card activity.
    • Prepare for Audit and 990 Tax Return. 
    • Process check runs not included in automated system.
    • Review and Post accounts payable batches. 
    • Review and Post Entries and Adjustments.
    • Select invoices to pay.
    • Upload detail general ledger to grants file.
    • Complete cash flow analysis.
    • Prepare year-end Form 1099s. 
    • Identify, establish, and maintain corporate accounts and credit cards.
    • Monitor and reconcile balance sheet accounts, including all bank accounts and fixed asset management and depreciation schedule
  • Private Revenue: Coordinate with the development team to align accounting of private grants and grant spending reports and tracking. Record and track private revenue restrictions per donor intent and proper accounting principles. 

  •  Staff Management: manage Finance Associate and train other staff on accounting skills as needed.

  • Other duties, as assigned. 

Qualifications

REQUIREMENTS

  • Possesses a deep commitment to both racial and educational equity for all children
  • Bachelor’s degree in finance, business administration, accounting or a related field 
  • 5+ years serving in a management role such as Director of Finance, Controller or equivalent 
  • Experience with financial EPR(s) like Intacct, Financial Edge, QuickBooks Enterprise, etc.
  • Excellent financial modeling skills, which includes an aptitude for advanced functions with MS Excel 
  • Proficiency in using accounting software
  • Strong organization and project management skills. 
  • Superb written and oral communication skills; comfort explaining complex financial matters in a simple way and an ability to communicate effectively with a broad range of stakeholders 
  • Strong work ethic, entrepreneurial spirit and flexibility to accommodate a high level of responsibility, multiple priorities and changing environment. 
  • Demonstrated ability to work in a fast-paced, high energy environment with a proven ability to balance multiple deadlines and tasks. Detail orientation is a must
  • Ability to bring a creative approach to assessing and analyzing the organization’s financial efficiency and effectiveness   
  • Passing a background check, as required by law.

HIGHLY PREFERRED QUALIFICATIONS

  • Experience working in or with charter schools and/or other education, non-profit or public sector organization
