Job Description

Here’s what you need to know:

The Associate Director of School Operations (ADSO)) will be the face of day-to-day operations for our staff and teachers. They will work collaboratively with the Director of School Operations and the school leadership team to ensure that the operational needs of teachers and of the instructional program are being met. The ADSO will be a critical player in supporting our schools’ operations so that our school leader and instructional staff can focus on what matters most: helping our students get to and through college.

Here’s what you’ll be doing:

Trip Planning, Event Coordination and Purchasing

  • Support school staff with logistics for school events and activities including Saturday School, parent meetings, assemblies, shows, graduation, and field trips
  • Troubleshoot with external service providers as needed and oversee their work when necessary
  • Coordinate and complete all purchases for the school
  • Ensure that teacher supply closet and/or PD rooms are fully stocked, manage inventory and make purchases as needed
  • Manage all receiving of goods and services to the school
  • Maintains budget and prepares monthly reports to see how school and school purchases are trending
  • Manage report card nights and processes

Staff Support

  • Coordinate school’s employee background and fingerprint checks
  • Manage staff onboarding to the organization
  • Work with staff to ensure that they are certified and meet the certification requirements of their placement
  • Coordinate and execute staff appreciation in partnership with school leadership team
  • Coordinate any professional development support in partnership with school leadership team
  • Support team in survey completion and correct HR assignments
  • Communicate all operational updates through staff notes and school specific communication streams

School Operations, Projects and Communication

  • Manage all instructional facing components of the audit and corresponding charter tool uploads
  • Coordinate the revision and submission of the School Improvement Plan
  • Coordinate and manage the ESSAC committee in partnership with the School Operations Manager (SOM)
  • Coordinate and manage volunteer projects in partnership with the SOM
  • Coordinate and manage volunteer projects in partnership with the SOM
  • Support larger operations team with attendance and student recruitment/ enrollment initiatives

Tech Support

  • Provide Tier 1 tech support to all staff and students
  • Manage assessment logistics coordination scheduling and trainings
  • Ensures appropriate student testing environment and coordinates with T&L and tech team as necessary
  • Manage and maintain relationship with print services vendor and tech support vendor
  • Manage student and staff device deployment

Student Recruitment and Enrollment

  • Organize, publicize and host student recruitment events for the school and school catchment zone
  • Organize staff efforts to support student recruitment and enrollment processes

Aesthetics

  • Help to support school’s vision on culture by developing and maintaining building aesthetics including but not limited to shared spaces, bulletin boards, etc.
  • Ensure that all classroom and school readiness checklists have the materials needed and are achieved and ready for first day of school
  • Provide continued support of the school leadership team in achieving the school vision for staff and student culture through visual artifacts and school space maintenance

Afterschool Programming

  • Sets up systems and manages day-to-day operation at school building
  • Coordinates with central ops team on issues that arise

Qualifications

Must Haves:

  • Proficient in Microsoft Office, specifically Excel
  • Data base management and reporting
  • Strong written and oral communication skills
  • Strong interpersonal skills
  • Demonstrated ability to work with a team on collaborative projects
  • Ability to remain calm and solutions-oriented in high-stress situations
  • Commitment to doing whatever it takes to ensure our teachers and students have what they need to be successful
  • Ability to proactively problem solve and anticipate challenges before they occur
  • Ability to identify inefficiencies and generate creative solutions
  • Ability to manage multiple projects simultaneously and comfortably with ambiguity
  • Strong organization skills and meticulous attention to detail
  • Superb customer service skills and love and support for families and children
  • Ability to troubleshoot and manage high stress situations with a calm and positive demeanor
  • Bachelor's degree

Nice to Haves:

  • Previous experience in a customer service oriented role
  • Previous experience budgeting or purchasing on behalf of an organization
  • Previous experience in an educational or non-profit setting
  • Proficiency in Spanish and/or Creole
