In 2005, KIPP schools in Tulsa, OK was formed  to become KIPP Tulsa Public Charter Schools, a nonprofit public charter school network, accelerating student academic outcomes and impacting more students in Tulsa, OK. KIPP began with 1 campus,  90 5th grade students,  to now serving students in grade 5-12 on two campuses, by the end of the 2021-2022 School year.  Through partnership with the local school district, KIPP Tulsa can more effectively leverage the talent, resources, instructional expertise, financial strength, and advocacy in the public charter school movement, in order to have an even larger impact with educationally underserved communities across our city.

KIPP Tulsa is part of the national KIPP network of 255 college-preparatory public charter schools educating early childhood, elementary, middle, and high school students. KIPP schools are part of the free public school system and enrollment is open to all students. Nationwide, KIPP students complete four-year college at a rate of 36 percent, comparable to the national average for all students and approximately three times higher than the average of students from low-income families.

The Five Pillars of KIPP

1.      High Expectations. KIPP schools have clearly defined and measurable high expectations for academic achievement and conduct that make no excuses based on the students' backgrounds. Students, parents, teachers, and staff create and reinforce a culture of achievement and support through a range of formal and informal rewards and consequences for academic performance and behavior.

2.      Choice & Commitment. Students, their parents, and the faculty of each KIPP school choose to participate in the program. No one is assigned or forced to attend a KIPP school. The Front Office Associate is dependable,  timely to work daily and present to ensures that the school office effectively serves and supports students, parents, and school staff.  S/he reports to the Director of Operations. The Office Associate’s duties and responsibilities include:

Attendance

●     Ensures the accuracy of students’ daily attendance, as well as medical, tardy, and early leave logs;

●     Prepares monthly attendance reports; weekly attendance verifications, and supports with bi-annual attendance submissions;

●     Trains and works with teachers to ensure attendance is completed timely and accurately each day.

●     Supports the goal of achieving a high ADA by communicating expectations of attendance to families, managing letters and communication to repeat truancy offenders, and supporting attendance-related incentives and activities.

Information & Data

●      Maintains student records in accordance with federal and school-based policies, as well as audit guidelines;

●     Monitors records verification of incoming students, prepares transcripts for current students, and prepares withdrawal forms for transferring students;

●     Ensures confidentiality and security of office space, files, and all information pertaining to students, parents, staff, and community;

●     Supports annual new student recruitment, lottery, and enrollment processes;

●     Supports school data submissions

Student and Family Relations

●     Welcomes and attends to prospective and current families;

●     Upholds and maintains a positive, nurturing, achievement-oriented school culture;

●     Builds relationships with families to keep them well-informed and support their needs.;

●     Attends to student health needs and injuries;

●     Seeks and implements feedback from stakeholders (parents, peers, manager, etc.) and offers feedback in an honest, respectful and timely way;

Office Operations

●      Organizes secures, and maintains pristine office space and environment; maintains copiers rooms and keeps supply closets clean and stocked with supplies

●      Directs phone calls and guests warmly and professionally;

●      Types, and distributes school correspondence including but not limited to: letters, memos, and weekly bulletins;

●     Assists with coordinating travel arrangements, field trips, and other student and school-wide events;

●     Assists in ordering, purchasing, receiving, and organizing materials;

●     Supports all school-based communication systems;

●     Distributes all incoming mail;

Other

●     Supports the School Nutrition Program

●     Works relentlessly to meet development and functional goals; self-starter, takes initiative

●     Exemplifies school values, operates under school-wide expectations and upholds the Commitment to Excellence; and

●     Other duties as assigned by the School Leader or School Business Operations Manager

 

Qualifications

Qualifications and Desired Characteristics

●     High School Diploma is required with a min of two years in work enviroment

●     Excellent communication skills, both oral and written, in English (Spanish; public speaking experience a plus);

●     Prior school and/or administrative experience preferred;

●     Strong working knowledge of Microsoft Excel and Word; Experience with Google Apps a plus;

●     Experience with managing and entering data with at least 95% accuracy; familiarity with data management systems (Powerschool, LiveSchool, SchoolMessenger, Identakid, Student ID System, ID badges, Square POS, PeachJar)

●     Excellent organizational, planning and implementation skills;

●     Ability to manage ambiguity and multiple priorities inherent in fast-paced work environments;

●     Ability to establish relationships and communicate effectively with multiple stakeholders;

●     Detail-oriented team player willing to roll up sleeves and get the job done;

●     Reflective and able to execute in an efficient and precise manner;
