ABOUT KIPP ALBANY COMMUNITY PUBLIC SCHOOLS (KIPP ALBANY)

KIPP Albany launched on July 1, 2020 as the new partnership between KIPP Tech Valley Charter Schools and Albany Community Charter Schools. KIPP Albany is a unified group of schools striving towards excellence in education in the Capital Region, with 1600 students across four schools. KIPP Tech Valley Middle School (KTVM) was founded over 15 years ago in 2005. In 2018-2019, KTVM was named a Recognition School by the New York State Department of Education. KIPP Tech Valley Primary School (KTVP) opened its doors in 2016 to 100 kindergarten students, and is now fully scaled to 500 students grades K-4. KIPP Albany Community Charter Elementary (KACCE) and Middle Schools (KACCM) will continue their commitment to providing students with a nurturing and supportive environment of high expectations, love, and respect. ABOUT KIPP ALBANY COMMUNITY CHARTER MIDDLE SCHOOL (KACCMS)

KIPP Albany Community Charter Middle School (KACCMS) is a 6-8 middle charter school which was founded in 2012 as the sister school to Albany Community Charter Elementary School. In the same year, the school was named a National Blue Ribbon School by the US Department of Education.  We offer an extended school day, a longer school year, two instructors per class, school uniforms and a variety of afterschool programs. Our school places a high value on collaboration, community, and culture. We have made a commitment to developing an environment that affirms and celebrates the racial and cultural identities of our students and recognizes the critical importance of having teachers and leaders that reflect the communities we serve KACCMS students are taught in an environment that emphasizes respect and character education in addition to reading, writing and mathematics.  Like KIPP Albany Community Charter Elementary School, the middle school offers spacious classrooms, a media center, a state-of-the-art music room and a gymnasium. Students are provided a robust offering of extra-curricular activities. These additional offerings complement our longer academic school day and school year to allow for whole child development and an exploration of creativity and personal growth among our students. In 2020 Albany Community Charter Middle School joined the KIPP network and was excited to become a KIPP school to access more of the curriculum, professional development, and other resources available within the network to provide more opportunities to the community we serve.

 

Job Description

The Operations Coordinator for KACCS Middle School, which is located in Albany, New York, is an essential member of the KACCSM operations team. This position is charged with completing day-to-day front office tasks in an efficient and professional manner so that students and staff feel supported and safe.

Individuals applying for this role must be comfortable interacting with a wide range of stakeholders including but not limited to students, parents, teachers, and community members. The Operations Coordinator must feel comfortable taking directions, providing feedback, speaking up, and stepping in as needed to support the high school staff, students, and families.  Individuals applying for this role must have high expectations, have an analytical mind and be a self-starter.  This position will report directly to the Director of Operations, but work daily with school leaders and other operations staff. 

Primary responsibilities include but are not limited to:

Culture of Respect

  1. Communicate respectfully and thoughtfully with parents, guardians, and staff remaining sensitive to different cultures, values and needs.

  2. Work with the school leadership teams to implement KACCSM mission; coordinate work and collaborate with other colleagues across the KIPP Albany region.

  3. Assist in creating a school culture with staff, parents and students focused on strong academic achievement, fairness, respect and high expectations for behavior.

Front office

  1. Ensures that the main office is neat, organized, welcoming and has all important parent facing materials.

  2. Ensure that the front desk is attended and or proper notice is provided when the space will be empty.

  3. Manage inbound and outbound calls; create internal announcements.

  4. Write bus passes as needed for students when parents or guardians call to make changes.

  5. Receive, distribute, and prepare incoming/outgoing mail & shipments.

  6. Manage expectations of parents and visitors by scheduling appointments with members of leadership when necessary.

  7. Answer phones; redirect inquiries as appropriate & relay messages to staff in a timely manner.

  8. Ensure Visitor Policy is followed and all visitors are screened before entry

  9. Ensure school signage is appropriate and up-to-date and all entrances and exits remain secure

Data

  1. Enter-in and maintain the following student data within KACCSM systems: application and registration forms, parent contact and health information, and student behavioral reports.

  2. Maintain accurate student attendance records on a daily basis and track trends over time for state and internal reporting purposes.

  3. Process late arrivals and follow-up with the families of absent students.

  4. Ensure student records are up to date and that record requests, student transfers, or student withdrawals are processed in a timely manner.

  5. Print and distribute paychecks, daily lesson materials for absent students, and other weekly announcements.

Operational

  1. Respond to and support site-level staff questions and concerns as appropriate.

  2. Assist in the processing, production, and distribution of memos, newsletters, etc.

  3. Complete special projects as assigned to aid in the improvement of school operations.

  4. Maintain office supplies and process supply orders and pass along requests.

Student Recruitment:

  1. Process applications in our student recruitment system and provide the KIPP Albany teams with updates and requested information for new students

  2. Create physical folders for all new students

  3. Make calls as needed to applicants that are still in the offer status

  4. Support student recruitment activities

  1. Collaborate with colleagues to continuously improve personal practice and achieve overall goals and mission of the school and the region.

  2. Reflect critically upon operational experience, identify areas for further professional development as part of a professional development plan that is linked to school and network goals, access meaningful learning experiences, and listen thoughtfully to other viewpoints and respond constructively to suggestions and criticisms.

  3. Use feedback to inform and update Individual Professional Development Plan.

  4. Fulfill all outlined and related functions professionally and thoroughly.
