Job Description

The 1:1 Attendance & PEIMS Specialist is a school based position that owns the attendance and student record process. This includes daily attendance, phone calls to families, report cards, compliance based reporting, and support with registration and enrollment. The 1:1 Attendance & PEIMS Specialist  serves as a key member of the school’s Front Office Team, ensures that the school’s operations meet high standards of operational excellence, and families are offered outstanding customer service.

 

Key Responsibilities

  • Leads  the process to call families whose students are not at school 30 minutes into the school day

  • Responsible for daily attendance emails, providing attendance reports, including students at risk of chronic absenteeism

  • Trains teachers on how to take attendance and inputs the data into the SIS; attendance policy expert

  • NOT responsible for SPED and ELL coding as SPED/ LPAC Coordinator does this via eSped application

  • Responsible for immunization and health documentation data entered into the SIS and auditing these entries

  • Audits critical health alerts for students and ensures the coding or info is in the SIS (e.g. allergies, diabetic)

  • Responsible for general SIS data quality audits via the Certify application

  • Truancy process expert; communicates to the School Leader and APO when a student is at risk

    • Signals to schools a parent meeting needs to be set up w/ next steps developed (APO initiates meeting)

    • This role and the appropriate Dean or AP goes to court when appropriate 

  • Corrects student data issues in the SIS, responsible for PEIMS reports

  • Audits applications to verify data accuracy before the lottery; Verifies students are fully enrolled and makes any data corrections (e.g. DOB, address doesn't match) in registration packets and SIS

  • Takes in required documents for students to enroll; sets up, manages, and audits student folders

  • Manages, handles, and makes TREX Requests

  • Accepts transfer requests from families. Works with the other school to send / accept transfer documents that are approved

  • Handles external student document requests and leaver tracking. Ensures that withdrawal meetings are held

  • Prints progress reports and report cards

  • Prepares transcripts and provides letters of proof that a student is currently enrolled (does not validate transcript data or if students are on course to graduate)

  • Enters student schedules developed by the schools

  • Participates (eventually leads) in the weekly attendance check-in meeting

  • Performs other duties as assigned by the 1:1 APO and 1:1 Regional PEIMS Coordinator

Qualifications

  • 2 to 3 years of work experience, preferably in education, data management, and/or customer service 

  • Bilingual; English & Spanish preferred

  • Strong project and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely results

  • Sense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quickly

  • Team player with strong interpersonal and stakeholder management and relationship building skills

  • Ability to be calm under pressure, especially in difficult conversations with parents and staff

  • Excellent organizational, verbal, and written communication skills

  • Excellent computer skills, including Microsoft Word, Microsoft PowerPoint, Microsoft Excel; Google Drive, Google Docs, and Google Sheets

  • Desire to continuously learn and increase effectiveness as a professional
