Job Description

The Operations Excellence Manager (OPEX) is responsible, the OPEX Manager will report to the Sr. Director of Facilities and as Program manager for Computerized Maintenance Management System (CMMS), Building Automation Systems (BAS) interface and Reliability, responsible for the overall asset management, work planning, training, reporting, and part inventory/ordering using CMMS software and BAS front end.  Will have direct and indirect oversight of four to seven support positions, participate in real estate acquisition to support school growth plans, support construction of new facilities and help lead other capital facilities projects. The OPEX Manager of Facilities will do this by developing and implementing scalable processes & systems, guiding the team towards efficiencies, and supporting day-to-day challenges while driving customer service excellence across KIPP Texas.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Computerized Maintenance Management Systems (CMMS)

  • Manages and implements the maintenance strategy work orders in the system for proper creation, planning, updating, and resolving of work orders.
  • Creates controlled work orders and project sections to address larger Repair Replacement (RR) work orders and Capital Renewal Projects and retains the template in designated storage systems.
  • Provides software training to end users and new administrators; serves as liaison for system problems and escalations. Coaches and educates staff on the CMMS functions and best practices for performing tasks.
  • Provides CMMS Business Analyst to implement standard object coding schemes, preventive maintenance procedures and scheduling; CMMS reports.
  • Participates in CMMS software implementation and provides training at the regional level.
  • Assembles, measures and publishes facilities KPI metrics to the management CMMS; interprets data and recommends findings in both briefs and routine reports.
  • Performs data analysis on parts/assets and recommends software enhancements, process changes, and validation.
  • Maintains spare parts inventory and audits on a regular basis; publishes a weekly spare part cycle count results to the facilities management with the Regional Facilities Management support.

Building Automation System (BAS)

  • Will have functional knowledge of BAS front end to generate reports, set schedules, and address alarms or fault indications.
  • May Create work orders from BAS daily run sheets and distribute appropriately with support of RFM’s and Campus Facility Managers as identified. 
  • Maintain records and schedules associated with all BAS contracted services in conjunction with Regional and Project leaders.

Managing People

  • Responsible for overall team management, performance reviews, and staff development with direct and in collaboration with others for in-direct reports
  • Create career development plans for direct reports to ensure personal and professional growth of facilities team 
  • Build relationships and lead by example
  • Establish a data-driven culture that tackles challenging problems and verifies the results with measurable data
  • Take on additional roles and responsibilities as assigned 

Qualifications

  • Minimum of 5-10 years of facilities / maintenance experience / Contracted Services management experience
  • Excellent interpersonal skills and an energetic attitude; ability to work with all levels of the organization
  • Proven ability in stakeholder management, communication and follow through
  • Exceptional project management skills, with an ability to juggle multiple priorities simultaneously 
  • Experience in facilities required
  • Experience leading teams is required
  • Experience in education and /or real estate preferred
  • Experience developing, implementing, and refining systems, processes, and/or protocols
  • Strong analytical and problem-solving skills; Keen ability to use data in the decision-making process
  • Excellent written and verbal communication skills
  • Ability to work under pressure and remain calm in the midst of many changing circumstances
  • Ability to lead, manage, and support a large, diverse team
  • Flexible and entrepreneurial spirit; ability to adapt to the quickly changing needs of KIPP

  • Bachelor’s degree preferred

  • Reliable transportation required (may be required to drive to different facilities or to pick up supplies during the workday)
  • Flexibility in work schedule

EDUCATION and EXPERIENCE

  • High school diploma or general education degree (GED) required. Degree (B.S. preferred) in Business Administration, Information Systems, Engineering, and related field preferred. Minimum of 3+ years of related experience.
  • Experience with enterprise software and understanding of standard work process.
  • Experience with planning, scheduling, and auditing overall facilities/maintenance activities.
  • Previous experience with CMMS, data analysis, and asset management preferred.
  • Experience with BAS systems scheduling and management preferred.

COMMUNICATION SKILLS

  • Ability to comprehend, interpret and provide instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages, and return on investment calculations.

REASONING ABILITY

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Requires intermediate analytical skills.

OTHER SKILLS and/or ABILITIES

  • Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use a work order system.
  • Ability to travel 15% of time

SCOPE OF RESPONSIBILITY

  • Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisors.  May lead and train teams for start ups and data mining.
