The Opportunity

The Office Assistant will play a major part in building relationships with our families and will be the face of our schools. The Office Assistant is responsible for overseeing the school’s front office day-to-day operations. The Office Assistant will play an integral role in creating and implementing policies and systems for the front offices and help to establish a school culture centered on our core values. The Office Assistant will provide assistance of clerical and office management duties to ensure the efficient operation of the front office. This role will report directly to the Manager of Operations. 

Job Description

Responsibilities of the Office Assistant position include, but are not limited to the following: 

Daily Operations

  • Oversee the school’s main office duties (incoming calls, faxes, copy machines, files, mail, and deliveries, etc.).

  • Coordinate family requests for transportation changes and early dismissals to ensure that proper dismissal process is followed for students.

  • Welcome and direct visitors as needed and assure the proper check-in process is followed.

  • Assist with the daily attendance process.

  • Maintain and update student data and information via DASL.

  • Support School Leaders with any additional student reporting, supply orders, report card distribution or paperwork.

  • Deliver and respond to family messages within 24 hours and check voicemails daily.

  • Assure that delivered packages are received at the front office and delivered to appropriate teachers

  • Maintain communication systems with families, acting as parent/community liaison (phone, email, in-person).

  • Assist staff in the preparation of any parent newsletters. Printing and distribution.

  • Deliver mass phone or email messages to families as needed.

Qualifications

  • High school diploma or general education degree (GED); AAS degree preferred. Experience working in a school setting preferred. 
  • Demonstrated ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions

  • Experience with Student Information Systems and Platforms is a plus!
