Job Description

Position Overview:

KIPP Nashville Schools and Regional Team depend on accurate, timely, and relevant data to make decisions that support our students and staff. Providing that accurate, timely, and relevant data requires the meticulous upkeep of a complex system of data tools. KIPP Nashville is seeking a Data Manager to support the management, maintenance, and constant improvement of our data system environment.

What You'll Do:

Your biggest priority will be ensuring that the data systems that support teaching and learning in our schools operate efficiently. This may mean getting google sheets to talk to each other or troubleshooting with school operations staff. Every day is different, but there are cycles throughout the year. There is systems turn-over, set-up, and rostering at the start of the school year. In the middle of the school year, assessments, report cards, and new students. The end of the year includes many compliance and data reconciliation tasks, and preparation for the new school year. At times there might be ad hoc tasks to help with a new priority. Nevertheless, you would be expected to oversee the following in this role:

Data Systems:

  • Manage, maintain, and optimize our major student data systems: PowerSchool, Infinite Campus, Illuminate, Clever, DeansList and a suite of Google Sheet Trackers

  • Support school leadership teams, teachers, and school staff in troubleshooting issues in these systems

  • Ensure users across the organization have access to the systems they need in order to do their jobs

  • Manage student rostering systems and processes and manage the integration of student information system rosters with educational technology

  • Ensure data integrity across data systems while ensuring that our data systems are seamlessly integrated

  • Run daily and weekly manual exports from data platforms

  • Maintain a complex system of Google Sheets that house a significant volume of student data

Academic Systems:

  • Maintain the KIPP Nashville common assessment calendar using an organizational system that ensures all assessments are entered into our assessment platform, and all assessment data is entered in accordance with deadlines.

  • Build all pre-created shared regional assessments into our assessment platform, Illuminate

  • Create gradebooks and troubleshoot system issues with gradebooks in Illuminate

  • Manage the K-8 report card process quarterly, partnering with schools and the Academic team to audit data and  ensure all appropriate student data is included.

What You Bring:

Exceptional attention to detail.

Our team supports our schools by ensuring our students have access to the tools and platforms they need for learning, and by ensuring our teachers and school leadership teams have the data, information, and system access they need to teach and make strategic decisions. We’ll count on you to ensure those systems are running every day, to surface and resolve issues that might otherwise go unnoticed, and to meticulously ensure the integrity of the information shared with our teams. You check everything 2, 3, or 4 times before you’re sure it’s right. Your meticulous attention to detail will help catch problems before anyone else and swiftly move to resolve them.

A passion for continuous learning and getting better at systems optimization.

We are a team of constant learners. We started with basic spreadsheets skills like vlookups, pivot tables, and conditional formatting, and learned to use queries, index-matching, SQL, and Python along the way. We’ll count on you to see new tasks and ask, “is there a better way to do this?” then research and implement solutions. You take ownership of the problems in front of you and dive head first into creating the best solutions for all stakeholders. Your continuous hunger to research and learn new skills will support both the optimization of our systems and your growing toolkit of data system knowledge.

A customer service orientation.

You thrive on helping people. You are not fazed by a request for support first thing in the morning, and you are ready to jump in with step by step troubleshooting instructions. Even when you’ve had to explain something twice, you can explain it a third time with patience and a smile.

Qualifications

  • Meticulous attention to detail and strong organizational skills: you have a system in place to identify whether or not your data is correct, and a system for fixing it when needed

  • Good data sense: you notice when details don’t look right and realize the implications of even the tiniest error in your system

  • Strong written and oral communication skills - you know when to ask questions, how to get people invested in a process, and when/how to give clear step-by-step guidance

  • Ability to adhere to strict timelines and meet precise daily deadlines, ability to work efficiently amidst competing and changing priorities

  • You should have some proficiency with these technical skills, although the right candidate can pick up some skills on the job:

    • Advanced proficiency with Google Sheets formulas

    • Reconciling data from disparate sources and systems

    • Pulling data from web-based applications

    • Working reproducibly (so that colleagues can follow and extend your work)

  • Demonstrated passion for the mission, vision and values of KIPP Nashville; comfort and willingness to actively participate in the KIPP Nashville community

  • Bachelor’s degree required

  • 2+ years of professional experience
