Today, our network consists of eight elementary schools, nine middle schools, one high school, and KIPP Forward, a comprehensive program to support our students and alumni in choosing and preparing for the educational and career paths that fit their goals and sense of purpose. KIPP NYC currently serves more than 11,000 students and alumni, has a staff of more than 1,000 (11 % of whom are alumni), and continues to grow!

Job Description

Position Overview

The school operations administrator is responsible for overseeing the school office, maintenance of office equipment, and acts as the first point of contact for families and visitors to the school. Specifically, the SOA is responsible for maintaining complete student files for each child, serving as the manager of student health and medical information, and playing a critical role in the school’s day to day operations. The SOA works as the lead in executing advocacy tasks, and managing core family engagement efforts, such as supporting the school’s KIPP Family Association and ensuring high attendance at family events. The SOA reports directly to the School Operations Manager.

Responsibilities

  • Supports in the execution of daily core systems
    • Student arrival
    • Daily student attendance
    • Student transitions
    • Student lunch/recess
    • Student dismissal
  • Present for specific assigned daily duties
  • Serves as first point of contact in the main office with students, staff, families and visitors.
    • Adjusts message/tone and style for each audience
    • Assumes the best in others’ interactions and abilities. Makes others feel appreciated, supported and valued. 
    • Responds appropriately to others within 24-48 hours. 
  • Student Data Systems
    • Execute daily student attendance systems
    • Maintains accurate student files, ensures 100% completion of student immunizations and lunch forms
    • Assists Data & Compliance coordinator in ATS tasks and data submissions
    • Ensures students receive Metrocards
  • Supports with execution of school events (e.g. set-up, ordering food, etc.)
  • Main Office Management
    • Acts as first contact for the school phone line, working to manage requests and questions that come in, and ensures that messages are provided in a timely manner to the appropriate recipient/s
    • Manage influx of student documents (e.g. signed report cards, family letters, doctor’s notes, etc)
    • Positively interface with students and families on a daily basis
    • Ensure the main office is continuously staffed, clean and welcoming
  • Family Communications & Advocacy
    • Creates flyers/notices to be sent home to families for school events, attendance reminders, etc.
    • Ensure that communications sent home are without errors
    • Serves as main point of contact for KIPP NYC advocacy efforts, and executes on school advocacy deliverables
    • Serves as lead for supporting KIPP Family Association meetings, events and efforts
  • Student Health/Safety
    • Ensure that student health needs are met and there is consistent communication with the school nurse as needed
    • Serve as active member of BRT and assists in any/all emergency or high-urgency situations
  • Teacher Work Room
    • School supplies are well-stocked and replenished
    • Copiers and office equipment are in good working order
  • Serve as a full-time and engaged member of school staff, including accompanying students on field lessons (if needed), assisting with student enrichment activities, and working with other staff members to ensure fulfillment of school’s mission.

  • Basic proficiency in Microsoft Office & computer literacy
  • Proficiency in basic DOE and school operations systems

  • Outstanding organizational and prioritization skills and high attention to detail
  • Excellent with people; outstanding written and oral communication skills. Communicates and works effectively with those from diverse backgrounds.

Compensation and Benefits:

KIPP NYC offers a competitive hourly rate ranging from $18/hour - $25/hour. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience.

This role is based in NYC and will require travel to our schools. If you relocate outside of a commutable distance or out of the state of NY, your employment will be subject to review, which may include separation from KIPP NYC.
