We’re looking for an Executive Assistant to the CEO

This position is a full-time contract position, preferably based in Lebanon.

Job Description

Who we’re looking for:

  • Neatness Ninja - Your room, desk, closet, living space is always organized and in balance at all times. Same with your work. 

  • Responsive – If you have 31 emails in your inbox, you’ll send out at least another 31 in response. Nothing falls through the cracks. Must have 120% on-time follow up skills. 

  • Time management master You’ll be accessing our CEO’s inbox and helping manage his calendar, appointments, attend every meeting with him and keep notes organized for all attendees, making sure that there are follow up tasks and accountability for every key decision made during those calls.

  • Punctual - When you say something will be done in 47 minutes, it’ll be done in 47 minutes.

  • Self-motivated learner - At Market 8, we’re all about curiosity and the desire to learn. We are looking to penetrate new markets, and you will be his right hand on researching and kicking programs in high gear.

  • Techie - Often think that if the computer moved as fast as your brain you could accomplish 2x the amount of work. You are good with Google documents, spreadsheets, presentations, building macros, and simply doesn’t get slowed down by technical stuff... you just figure things out. You are the kind of person that your friends ask you to please help setup a wifi.  No technology seems too difficult for you.

  • Numbers mind - You have a good feel for keeping the books in order and you’re the kind that gets uncomfortable when checks and balances are more than a dollar off. 

  • Cool - straight up, no BS, no drama kind of person - Administration is a core role, you’d be part of the alfa team, so we can’t have drama, BS, white lies or anything like that between us.

  • Wordsmith - You might be involved in helping our team members prepare some written reports.  So, perfect fluency in English is a must. You can catch Grammarly’s errors time and time again...

  • Leadership & resourcefulness - there is A LOT of stuff that will be put on your plate. You have to be resourceful and wise enough to either take it on or recruit/outsource someone to do it repeatedly.  You are constantly executing and evaluating every task: should it be done? Why? if it’s repetitive you will seek ways to automate or delegate. If it’s not, you’ll constantly evaluate weight its importance to the business. This job will require you to be moderate to highly decisive.

  • Smarts + initiative - We want smart fast learners. Sometimes you will be explained contextually what is needed and the task will be left to you to figure it out. If you are the kind of person that requires detailed explanations, this is probably not the best job for you.

  • Hustle and grind - The demands will be high. Working directly with the CEO is not uncommon to have full 8 hours a day of high-productivity, high-velocity work. 

  • Has a life - Most of the time you’ll be working by yourself from your home, or from the beach, or from your favorite coffee shop, keeping contact with us via zoom and phone.  If you don’t have a social life outside of work you’ll likely go insane, so, just keep in mind that if your social circle depends on your current job, this might not be for you.  We are spread all over the planet, yet extremely communicative.

  • Flex your hours to match the CEO’s - Our CEO is based in Lebanon, and typically works from 11 am to midnight with a couple of breaks through the day (That’s 4AM to 5PM Eastern US time). When he’s traveling to the West coast his hours are 7AM to 5PM Eastern time). It’s important that you are with him along the day, and this job will require that you have at least 8 hours of overlap with his schedule.

 

What you’ll be doing:

  • Attend meetings with the CEO, take nifty useful, concise notes, and set up follow up tasks.

  • Explore new ways of doing things - if something is taking too much time, look for ways to get automated.

  • Reading / preparing briefs

  • Keeping all strategic clients’ information organized in a consistent manner.

  • Preparing reports and communications.

  • Helping our CEO think thru presentations and work on formatting them

  • Do daily accounting support ensuring all accounting is up to date

  • Do special projects to analyze the profitability of a particular business area

  • Generate monthly profitability statements by project, and by product line, in coordination with our Ops manager

  • Ensure company KPIs are updated and visible to the entire company

  • Help to ensure that CRM information on open projects and active leads is complete

  • Assist in building various management reports

  • Assist in various project organizational items.

  • Writing emails, sometimes on behalf of our CEO.

  • Managing his agenda and keeping him productive and focused on high-value tasks. Help to figure out how to take off his plate anything that does not directly result in agency growth, new clients, better products, or higher profits.

  • Helping the CEO maintain a well refined product backlog for the projects he is directly involved in.

Qualifications

We’ll love you even more if:

  • You have a masters degree

  • You have accounting or project management experience

  • You've had experience with Quickbooks or similar accounting systems

  • You have strong experience in Marketing

  • You have experience with Atlassian products Jira, Confluence, Service Desk
