Job Description
POSITION FUNCTION:
As a key part of our Human Resources team, the Benefits and Leave Management Specialist at Salit Steel plays a pivotal role in overseeing and coordinating the leave management program for our Ontario locations. This entails close collaboration with employees, insurance carriers, WSIB, and supervisors to ensure smooth communication and processing of required documentation during employee absences and return to work. . Additionally, this role involves proactive management of our benefits and group RRSP plan specifically tailored for Ontario employees.
KEY RESPONSIBILITIES:
Leave Management:
Key point of contact for employees and supervisors regarding extended leaves from the organization
Track and record all absences; proactively follow up employees to ensure submission of appropriate documentation to support absence and facilitate return to work
Prepare all discipline paperwork for attendance related issues and support management team with communication
Maintain and update records to Dayforce to ensure accurate reporting of all absence and accurate payroll processing
Support employees in completing necessary paperwork for WSIB, STD or LTD absences
Reviewing all incident reports and ensuring timely submission of all WSIB paperwork on behalf of the employer
Work closely with supervisors to document and facilitate timely return to work for all leaves (short and long term)
Support preparation of modified work offers taking into consideration restrictions and limitations
Prepare all documentation to support lost time appeals and proactively manage cases with WSIB
Submit paperwork for SEIF relief where possible
Proactively communicate with payroll to update employee records and ensure ROE’s are issued; update Dayforce with return to work dates to ensure accurate payroll processing
Prepare monthly metrics on leaves of absence, lost time and financial impact to the organization
Provide support and training to supervisors on WSIB and leave management process
Prepare quarterly metrics on Leave status and review with management team
Benefits and RRSP Administration:
Responsible for all benefits and RRSP administration including on and off boarding of employees
Assist with configuration of direct remittance process within Ceridian for our benefits and financial plans
Ensure all new employees are enrolled in the benefits and RRSP according to plan guidelines and CBA requirements. Distribute benefits cards to employees on a timely basis
Develop and implement and streamline RRSP enrollment process with our financial planner
Participate in weekly orientation sessions with all new employees to review health and wellness plans and support enrollment process
Track eligibility requirements and meet with staff to review plans and finalize enrollment process
Actively participate in benefits renewal meetings to review data and discuss changes or concerns
Coordinate open enrollment on a bi-annual basis
Analyze monthly benefits reconciliations to identify issues and make recommendations to address spending imbalances
Prepare and reconcile monthly benefits spending reports by location
Support annual handbook discussion with claims spending history analysis
Wellness and Recognition:
Research and recommend a recognition platform to manage service awards and other recognition opportunities across the organization
Coordinate and schedule annual scholarship program
Lead Social Committee for Ontario based locations
Qualifications
QUALIFICATIONS AND EXPERIENCE REQUIRED:
Degree or diploma in Finance, Business Administration, Human Resources combined with a minimum of 7 years of leave management administration experience.
Comprehensive knowledge of WSIB processes including filing appeals and SEIF relief applications demonstrated through a minimum of 7 years of working experience managing claims
Previous experience as benefits plan administrator for a large group health and/or retirement plan
Demonstrated ability to multitask with exceptional attention to detail
Strong analytical and numerical fluency
Ability to maintain confidentiality and deal with sensitive information
Excellent problem solving skills with demonstrated ability to troubleshoot, investigate and make recommendations to resolve issues
Experience with Ceridian Dayforce considered an asset
Proficient in MS Office and Google suite of products
Self starter with the ability to work independently
Strong communication skills including the ability to mediate complex issues
