Job Description

Job Purpose

Provide support in various administrative and financial tasks to ensure the smooth operation of the office.

Primary Responsibilities

Administrative Support

Scheduling: Managing multiple calendars for meetings, travel arrangements, and organizing appointments.

Correspondence: Handling phone calls and an updated contact list. Producing and distributing correspondence memos, letters, agendas and forms as needed.

Documentation: Filing and maintaining accurate and up to date documents and records.

Office Management: Ordering supplies, managing office equipment, and ensuring the office environment is well-organized; Greeting visitors and directing them to the appropriate host.

Financial Assistance

Data Entry: Inputting financial data for coding invoices per project on TimberScan.

Record Keeping: Maintaining an updated filing system and records.

Invoices: Processing invoices; preparing, saving and sending lien waivers to the appropriate contractors, by email, for signatures; Managing the office petty cash.

Qualifications

Qualifications/Education

  • Bachelor’s degree or Technical Studies in management, accounting or equivalent.

Knowledge/Experience

  • Basic understanding of database management and data analysis.
  • Experience handling invoices, expense reports, and other financial documents.
  • Microsoft Office (Word and Excel).

Behavioral Competencies

Organizational Skills: Ability to manage multiple tasks and priorities and meet deadlines.

Communication Skills: Clear verbal and written communication when interacting with colleagues and clients.

Interpersonal Skills: Ability to work well with others, accept remarks and maintain positive relationships.

Proficient in both Arabic and English languages (spoken and written).
