Customer Service Coordinator - Full-Time Position About Us

Monday to Friday, 7:00 AM to 4:00 PM

Position Summary

We are searching for an enthusiastic individual with exceptional organizational skills and the ability to handle multiple tasks in a fast-paced setting. As a Customer Service Coordinator, your primary responsibilities will include scheduling preventative maintenance requests, coordinating external repairs, managing the service scheduling system, and handling daily administrative tasks such as answering phone calls and managing paperwork.

Major Responsibilities
  • Coordinate with customers to schedule preventative maintenance work and align available openings with technician work schedule.
  • Communicate with customers as needed to provide maintenance updates, address billing concerns, or resolve any issues related to their satisfaction.
  • Ensure that all rental units are properly maintained and prepared for customers.
  • Manage parts inventory and ensure availability for scheduled work.
  • Order, kit, and return parts as necessary.
  • Maintain accountability of outside vendors for quality and adherence to schedule in relation to external work.
  • Provide excellent customer service to ensure customer satisfaction and encourage repeat business.
  • Collaborate with billing clerks as required.
  • Prepare merchandise for display or rental, and offer recommendations on various rental products and services.
  • Maintain records of rental transactions and customer interactions.
  • Inspect and adjust rental items to meet customer requirements.
  • Assist customers by providing information about products and services, taking orders, or resolving complaints.
  • Resolve customer service or billing issues promptly and effectively.
  • Determine charges for services requested, collect payments, and arrange for billing as needed.
  • Complete other assigned projects and tasks as directed by your supervisor.
Qualifications
  • Minimum of 2 years of customer service experience.
  • Preferred: 1 year of hands-on mechanical experience.
  • Preferred: 2 years of supervisory experience.
  • Preferred: 2 years of service department administration.
  • High School Diploma required; Bachelor's Degree preferred.
  • Prior experience with service scheduling programs and diagnostic programs preferred.
  • Regular and punctual attendance is essential.
  • Willingness to travel as required and work the assigned schedule.
  • Completion of Penske employment application and background investigation (including past employment and education).
