Job Description
JOB SUMMARY
The Experiential Marketing Coordinator plays a critical role in executing field marketing initiatives, partnerships, and brand activations across the country. This role is responsible for coordinating events, managing logistics and budgets, supporting partnership execution, and ensuring seamless operational excellence across experiential programs.
This position combines event execution, administrative rigor, financial tracking, and cross-functional coordination to bring brand experiences to life.
KEY RESPONSIBILITIES
Event Coordination & Execution
- Plan and execute Tier 2 & Tier 3 events, while supporting Tier 1 activations.
- Manage event logistics, including stakeholder communication, timelines, and activation plans.
- Manage product orders, asset sourcing, rentals, and staffing for events.
- Assist with event setup, teardown, and on-site execution as needed.
- Support ideation and development of experiential marketing programs.
- Track and maintain event and sampling calendars and performance reporting.
- Identify opportunities to elevate activations through creative thinking and continuous improvement
Budget & Financial Management
- Lead regular budget check-ins to ensure accuracy and alignment.
- Partner with leadership to identify cost-saving opportunities and investment tradeoffs.
- Manage purchase requisitions, purchase orders, and invoice processing.
- Track budgets, forecasts, and accruals for experiential programs.
Vendor & Administrative Coordination
- Own new vendor onboarding and documentation processes.
- Manage legal review, contract execution, and document management.
- Maintain organized records of events, partnerships, and reporting.
- Manage creative services requests and ensure alignment to timelines and approvals.
Logistics & Asset Management
- Maintain experiential warehouse inventory and asset tracking systems.
- Coordinate asset production, storage, transport, and deployment.
- Manage inbound/outbound shipments, packing, and activation prep.
- Ensure proper asset maintenance, organization, and post-event handling.
- Identify process improvements to increase efficiency, scalability, and cost-effectiveness.
Staffing & Field Operations
- Serve as primary point of contact for staffing agency partners and brand ambassadors.
- Coordinate staffing needs, scheduling, and communication for events.
- Build and maintain ambassador and talent resources.
Partnership & Program Support
- Manage inbound partnership requests and communications.
- Track deliverables and ensure fulfillment of partnership agreements.
- Support execution of co-branded activations and sponsorship programs.
Reporting & Continuous Improvement
- Develop event recap reports and year-end summaries.
- Track performance metrics and identify optimization opportunities.
- Maintain documentation, playbooks, and experiential resources.
Perform other duties as assigned.
WORK ENVIRONMENT

Qualifications
- Bachelor’s degree in Marketing, Event Management, or related field preferred.
- 2+ years of experience in experiential marketing, event coordination, or logistics.
- Highly organized with strong ownership mindset and accountability for results.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and stakeholder management skills.
- Detail-oriented with strong follow-through.
- Experience with budgeting, forecasting, or financial tracking preferred.
- Familiarity with logistics, shipping, and warehouse operations a plus.
- Passionate about experiential marketing.
- Travel to support experiential activations is required.
Additional Information
The salary range for this role is $65,000- $77,000 (Annually). Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, and candidate skill set and experience. Base pay is just one component of Jack Link’s Total Rewards package for Team Members. Other rewards may include annual incentive and program-specific awards.
