Job Description

The Program Assistant is a member of the National Scientific Research Program team supporting the tactical execution of project and program management for the Core Program Teams. The Program Assistant will play a critical role in the scheduling, organizing, and preparing internal and external meetings.

SPECIFIC RESPONSIBILITIES: 

  • Schedule, plan, and execute offsite and onsite meetings for the team. 

  • Prepare and coordinate meeting resources, background materials, and reports as needed. Conduct research, assemble and analyze data to prepare reports and documents.  

  • Coordinate and prepare the agendas for the Research team meetings. 

  • Organize team files in Sharepoint and other project management software 

  • Perform various other administrative tasks as needed, such as expense reporting, invoice processing, etc. 

  • Represent the Research team internally and externally; acting as a liaison between the president, key executives, and staff throughout the Foundation. 

  • Oversees the administrative processes, redesigning processes where appropriate to achieve efficiency enhancements. Take on special projects as needed. 

Qualifications

  • 0-2 years of experience. 

  • Exceptional proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, and Teams 

  • Expertise in developing and preparing presentations, reports, and business correspondence. 

  • Excellent written and oral communication skills 

  • Strong organizational skills. 

  • Ability to multi-task, establish priorities and work in a fast-paced environment 

  • Demonstrated sense of urgency and accountability 

  • Strong interpersonal skills – ability to work in collaboration with other functions, resolve conflicts and challenges 

EDUCATION: 

  • Bachelor’s degree required, Biology major preferred.
