Job Description

Office responsibilities:

  • The role is the primary contact for all facility suppliers the company is doing business with; register and file all company’s orders, letters of attorney and other formal documents
  • Tracks all contracts with JDE’s vendors and maintains proper mutual relationship with them
  • General responsibility over the office area – good look and feel/ ensuring professional appearance, cleanliness, well stocked supplies in the kitchen etc.
  • Ensures that all office associates have access to the necessary stationery supplies.
  • Exploits opportunities for improvement of office experience and supports local leadership team in implementation of all generated ideas
  • Co-pilots JDE's sustainability initiatives within our office, striving for continuous improvement and environmental responsibility.
  • Coordinates courier services to support the smooth functioning of the entire organization.
  • Stay updated on industry trends and best practices related to office management, incorporating innovative solutions to enhance productivity and employee satisfaction.
  • Organization of various company events by providing full organizational, communicational, and informational support.
  • Responsible to support the organization in all business trip organization – flight tickets, hotel bookings etc.

Functional Buyer:

  • Responsible to adhere to JDE’s no-PO-no-pay policy – issues and tracks all office related Purchase Orders and expenses and follows strictly yearly budgets
  • Creates all HR and Facility POs and keeps close track of all costs. Manages available vendors and if needed identifies and initiates the process of vendor creation in SAP
  • Pro-actively looks for vendor options on Bulgarian market and if needed initiates and manages the bidding process to either improve processes or decrease cost
  • Follows close collaboration with current partners and follows strictly contractual obligations that parties have.
  • Provides timely and accurate reporting on procurement activities, including expenditure analysis, cost-saving initiatives, and vendor performance metrics, to support informed decision-making at all levels of the organization.

HR and car fleet responsibilities:

  • Support of local benefit programs management – food vouchers, multisport cards, free goods, etc.
  • Support in onboarding of newly hired associates
  • Responsible for initial and periodic labor instructions
  • Responsible to actively support the organization of yearly medical examination
  • Car fleet tracking and lease supplier communication
  • Organize company guest visits (invitations and visas)

Qualifications

  • Minimum 2-3 years of experience in similar position(s)
  • Experience in FMCG business sector and/or in an international environment
  • Bachelor’s degree in human resources, Business Administration, Management, or a related field preferred.
  • Good English skills & PC knowledge literacy
  • Very good command of MS Office applications – Excel, Word and Powerpoint
  • High level of communication and organization skills / Excellent organizational, communication, and interpersonal skills. Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • SAP knowledge will be considered as an advantage
  • Driving license
