Job Description

The HR Administration Specialist provides administrative support to Payroll (for Denmark and Sweden) with accurate master data management and reporting (time and attendance, process and policies). Also contributes to salaries and wages are paid accurately on time and in line with the applicable legislation, close collaboration with Payroll Specialist.

The role supports procurement and plays an important role in vendor relations and stakeholder management. Ensures that all purchasing documents are compliant with relevant company policies on procurement, purchasing or finance. The role manages a strong supplier base and maintains a good relationship with vendors.

The HR Administration Specialist reports to the HR Services and Facility Manager Nordics.

Your key activities will be:

  • Support the execution of the end-to-end payroll process ensuring high quality, timeliness, completeness and correctness
  • Be responsible for updating HR master data both in SAP and Payroll system
  • Prepare accurate purchasing documentation in time and aligned with procurement policy.
  • Be responsible for relevant vendor management, providing support with creating and monitoring vendor contracts or agreements.
  • Raise purchase orders and providing goods receipt following the contractual terms and conditions.
  • Execute ad-hoc analyses for business needs and/or pro-actively.
  • Maintain fully compliance to internal control framework.
  • Liaise with Global Procurement and Global Transactional Center

Qualifications

Must have:

  • College degree

  • 1-2 year(s) experience in administrative/payroll support role in FMCG company

  • Accurate working

  • Monotony resistance

  • Excellent communication skills

  • English

Nice to have:

  • SAP (Business Workflow HR and purchasing modul) experience

  • Swedish payroll experience
