Job Description

The Sales & Office Assistant represents our Business and office towards our visitors and clients who visit the HQ in Budapest, also support Sales team with administration.

The function ensures administrative tasks providing services and information that add value for visitors and stakeholders. The function manages mailing, office related procurement, invoicing and ensures optimal alignment among visitors and colleagues.

The function reports directly into the Country Manager who oversees the whole in country operation thus supports potential career move within the organization should the candidate succeed in the role over time.

Your responsibilities will be:

Sales tasks

  • Support management of Sales Accounts

  • Administration in Sales systems (trade promotion registration, promotion follow up)

  • New products information sharing (datasheets and product pictures) with trade partners

  • Review of and signature collection on trade partners contracts

  • Pricing administration

  • Ad-hoc tasks

Office tasks

  • Handle all outgoing and incoming post and deliveries, coordinate courier service.

  • Welcome and escort guests and clients, book accommodation & flights, prepare meeting rooms for meeting, catering.

  • Manage provision, store and delivery of stationary materials, kitchen supplies, office equipment.

  • Coordinate cleaning and office maintenance services.

  • Handle invoices (maintain purchase orders, goods receipt).

  • Manage pool car, parking and taxi services.

Qualifications

You are required to have:

  • Bachelor’s degree;
  • Microsoft Office literacy
  • Fluent English and Hungarian;
  • High attention to details; good organizational skills
  • Nice communication skills and manner;
  • Strong customer service focus;
  • Knowledge of SAP is considered as an advantage.
