Job Description

The Administrator is responsible for the efficient and effective coordination of the clinics administrative processes.   

Duties & Responsibilities will include but are not limited to the following: 

·         Schedule patient appointments when requested

·         Greet each patient and visitor appropriately and treat them with courtesy

·         Ensure each patient is signed in appropriately

·         Confirm insurance coverage and/or verify Guarantee of Payment

·         Prepare all necessary paperwork for medical and dental patient encounters

·         Perform quality control on medical chart before creating the invoice and filing the chart

·         Prepare invoice for each patient encounter

·         Prepare monthly invoices for clients as required by contract

·         Collect required payments at the time of service

·         Answer phone calls to the clinic

·         Answer email to the clinic email address and courtesy copy the Health Manager in all correspondence

·         Submit daily patient reports, cash logs, financial reports

·         Forward MOD 13 physicals to Quality Control/Quality Assurance on a daily basis

·         Prepare Operations Weekly and Monthly Reports and forward to Health Manager

·         Ensure accuracy of daily cash on hand and received

·         Scan and file hard and soft copy of patient medical records and update medical records as required

·          Ensure all diagnostic reports are filed in the medical record

·         Perform weekly and monthly inventory of office supplies and forward to Health Manager

·         Ensure work area is clean at all times

·         Other duties as assigned

Qualifications

·         Minimum of 3 years’ clinical administration experience, preferably in a challenging geographical location

·         Experience of working in a busy medical clinic essential

·         Good knowledge of clinical administrative processes

·         Good IT skills (Word and Outlook a minimum)

·         Good communication sills both written and verbal

·         Excellent planning and organising skills

·         Accuracy and attention to detail
