Job Description

To work closely with team members and other internal stakeholders to support the Health Administration (HA) function in delivering a high standard of service to clients, suppliers and patients.

  • Follow company e-mail etiquette and mailbox management guidelines
  • Answer the phone in accordance with Call Handling Management Procedure
  • Support the HA team to effectively and accurately administer medical bookings for all clients and patients
  • To accurately distribute mail delivered in accordance with the Royal Mail Procedure
  • Assist in the franking of outgoing mail
  • Follow the dictation process to quality review Doctor prepared documents for accurancy on grammar and personal data content
  • To follow dictation process to password protect and quality review approved documents ready and forward for final administration review
  • Medical assessment outcomes to be emailed to clients within one day of appointment completion
  • Ensure any other results are delivered in a timely manner to the client, as specified in contract SLA’s
  • Monitor network clinic partners, log and escalate any non-compliance, where appropriate
  • Review external clinic invoices and follow Iqarus process to ensure medical appointments are accurate for the billing process
  • Ensure paperwork is accurately completed and scanned on to the patient record system
  • Assign network clinic appointment actions to providers for clinical review and certification
  • Manage medical and personal documentation in accordance with operating procedures and clear desk policy
  • Work to resolve any service issues in a timely manner using clinic administration escalation process, where appropriate
  • Support the Case management process within the HA team
  • Participate in the process of annual appraisals, regular team meetings and working to achieve objectives of assigned HA Team Lead
  • Undertake any reasonable request assigned by HA Team Lead or Management

Qualifications

 

  • Good knowledge of Microsoft Outlook, Word and Excel (Intermediate level desirable) and ability to adapt to new systems
  • Good interpersonal and communication skills – pleasant attitude, speaks clearly and fluently
  • Quality orientated – output of work is accurate and meets or exceeds internal standards and the needs of both internal and external clients
  • Good problem solving skills
  • Excellent time management skills
  • Strong attention to detail

 

Additional Information

 

  • Previous experience within an administrative / customer service role 
  • Experience within a medical / occupational health environment would be advantageous
