Job Description

Role summary:

 

The purpose of the role is to provide critical business support to the Managing Director, OH (and team members as and when required) to ensure maximisation of efficiencies in the operation of the Division.

 

Duties and responsibilities:

 

  • Support travel requirements - ticketing, accommodation, transport as required
  • Manage MD’s busy diary for internal and external client meetings. Ability to prioritise conflicting schedules.  Ensure all papers are co-ordinated for meetings and proactively expedite advance preparations and briefing papers
  • Co-ordinate management meetings, including: OH Leadership, Onshore & Offshore Finance Review, Business Development and any other ad hoc meetings
  • Provide Business Support to Managing Director in all areas including Client Relationship Management, Onshore, Offshore, Partnership and Solutions Development, Medical as well as Finance and Human Resources (including updating all org charts as required)
  • Process expense claims for MD
  • Execute and assemble monthly packs for Executive Committee (ExCo) and Board Meetings from OH contributors. Includes proactively prompting for timely delivery
  • Deliver small projects and manage follow up action trackers as appropriate with the senior team
  • Manage and coordinate the monthly internal business meeting schedule
  • Maintain a comprehensive e-filing structure
