Job Description

Primary Function of Position:

Ensure the accurate and timely administration of payroll in close coordination with Finance, HR, and the external payroll provider, while auditing employee expense reports and corporate card transactions through Concur, in collaboration with Finance, HR, and the credit card providers.

Roles and Responsibilities:

  • Payroll activities:
    • Coordinate the end-to-end payroll cycle in partnership with the external payroll provider, from data collection to final approval, ensuring accurate and timely processing of employee changes..
    • Ensure return and filing of all required documents with local third parties.
    • Ensure annual declarations are filled timely and accurately by local outsourced payroll providers.
    • Employee life cycle payroll-related administration activities:
      • On-boarding/off-boarding process: on time employees’ announcements to local authorities.
    • Primary point of contact for employees’ questions related to payroll.
    • Participate in payroll/Finance projects upon request.

  • T&E activities:
    • Audit expense reports in accordance with our travel policy, using Concur expense system.
    • Train employees to comply with travel policy and federal reporting requirements.
    • Provide the information required during monthly compliance audits.
    • Prepare monthly uploads from Concur to SAP for expense bookings and monthly accruals.
    • Complete region-specific month end reporting and provide to internal stakeholders.
    • Monthly reconciliation of T&E account.
    • Maintain Concur data such as cost center updates and active/inactive status.
    • Maintain strong relationships with employees and work closely with end users to ensure reports are filed timely.
    • Assist employees in reconciling their corporate card and Concur accounts.
    • Maintain corporate card profiles and manage employee balances to avoid delinquent balances.
    • Provide customer service and support of Concur.
    • Ad-hoc Concur and corporate card reporting.
    • Contribute to special projects as required which include various cross-functional teamwork.
    • Compile quarterly watchlist of non-compliant employees.

 

     

    Qualifications

    Required Knowledge, Skills, and Experience:

    • Minimum 5 years’ experience in a payroll function.
    • Italian payroll experience and an other European payroll experience is a strong plus
    • Experience working with / managing external partners, e.g., payroll provider, would be an asset.
    • Figures oriented, exceptional attention to details.
    • Ability to work independently and across teams whilst keeping open communication with key stakeholders.
    • Ability to solve complex problems with little instruction.
    • Excellent organizational and problem-solving skills.
    • Highly customer-focused approach and developed analytical skills with positive “can-do” attitude.
    • Fluent in English and Italian.
    •  Knowledge of SAP Concur preferred.
    • Knowledge of Corporate Card Reporting and Tools a plus.
    • Excellent planning and organizational skills.
    • Excellent reporting skills.
