Job Description

You'll coordinate the daily work of Medical Support Assistants supporting veterans across multiple healthcare settings by managing staffing coverage, monitoring workflow quality, and helping maintain timely access to care. Working alongside interdisciplinary clinical and administrative teams, you'll oversee daily operations, monitor staff performance, coordinate scheduling coverage, and promote consistent, high-quality customer service within a structured, veteran-focused healthcare environment.

Employment Type: Full-Time

Contingency: This position is contingent upon contract award.

Schedule: Monday-Friday with an assigned eight-hour shift: 7:00 a.m.-3:30 p.m., 7:30 a.m.-4:00 p.m., or 8:00 a.m.-4:30 p.m. The schedule includes a 30-minute lunch period and two 15-minute breaks. No on-call service is required.

Key Responsibilities

  • Coordinate staffing assignments, leave and absence coverage, reassignments, vacancy support, and workload distribution across assigned healthcare locations.
  • Direct and monitor the daily work of Medical Support Assistants and administrative staff, helping maintain consistent performance across assigned workflows.
  • Review time and attendance records, verify timesheet accuracy, monitor staffing coverage, and coordinate follow-up when attendance or performance issues arise.
  • Monitor scheduling accuracy, productivity, customer service, and administrative performance while identifying trends, documenting concerns, and escalating corrective follow-up through management.
  • Oversee administrative workflows that may include appointment scheduling, consults, recall reminders, reception, telephone support, records management, Release of Information, Community Care, eligibility and enrollment, and travel reimbursement.
  • Verify that staff accurately use required scheduling, electronic medical record, and operational systems while following established procedures.
  • Monitor compliance with HIPAA, privacy, information-security, training, and professional-conduct requirements.
  • Serve as a liaison among assigned staff, administrative supervisors, and clinical and operational teams regarding staffing, attendance, workflow, and service issues.

Qualifications

Requirements

  • High school diploma or GED required.
  • At least six months of clerical, office, customer service, or administrative experience, or one year of education above high school.
  • Ability to type at least 40 words per minute.
  • Ability to use electronic medical records, patient scheduling systems, databases, office equipment, and required reporting applications.
  • Strong communication and customer-service skills, with sound judgment, adaptability, and the ability to coordinate work and manage multiple priorities.
  • U.S. Citizen or Permanent Resident required; ability to pass and maintain the required VA Public Trust clearance.
