Job Description

You'll help Veterans access timely healthcare by coordinating appointments, supporting patient communications, maintaining accurate medical documentation, and helping clinical teams manage patient workflows. Working alongside providers and interdisciplinary healthcare teams, you'll manage scheduling activities, assist with referrals, respond to patient inquiries, and help ensure efficient clinic operations while delivering professional customer service to Veterans and their families.

Employment Type: Full-Time

This position is contingent upon contract award.

Key Responsibilities

  • Schedule, reschedule, and coordinate patient appointments while helping manage provider schedules in accordance with Veterans Health Administration (VHA) scheduling guidelines.
  • Coordinate referrals and appointments with specialty clinics to help ensure timely access to ongoing patient care.
  • Review, document, scan, upload, and maintain clinical and administrative information within the electronic health record (EHR).
  • Obtain and update patient demographic and medical information while ensuring accurate documentation and record maintenance.
  • Respond to telephone calls, secure messages, chat messages, and patient inquiries while accurately routing communications to the appropriate clinical or administrative staff.
  • Welcome Veterans and visitors by assisting with patient check-in, check-out, registration, and appointment-related inquiries while directing questions to the appropriate staff.
  • Communicate effectively with internal and external customers to coordinate appointments, services, and administrative activities.
  • Provide patients with administrative information that helps resolve concerns while referring all medical questions to the appropriate healthcare professional.
  • Support clinical staff by providing guidance on established administrative processes and scheduling procedures.
  • Perform additional administrative and patient support duties as assigned to maintain efficient daily clinic operations.
  • Maintain patient privacy and confidentiality while following HIPAA, VA, and organizational policies.

Qualifications

Requirements

  • High school diploma or GED.
  • 6+ months of customer service experience.
  • U.S. Citizen or Permanent Resident Card is required.
  • Oral and written English proficiency.
  • Basic computer proficiency.
  • Typing speed of at least 50 words per minute.
  • Working knowledge of basic medical terminology.
  • Ability to obtain and maintain a VA Public Trust clearance.
