Job Description

We are currently recruiting a Head of Order Desk on a permanent contract to join our team in Barking, East London. The successful candidate will manage the order desk function for LE West UK which consists of Client Services Managers and Order Desk Executives who are assigned by market segment.  They will also manage and drive the Client Services Managers to meet or exceed market segment sales targets and customer retention/satisfaction goals while utilizing the Order Desk Executives to execute the sales, order management and client satisfaction goals. 

The Order Desk Manager will own and manage the business development and order management functions within LE West UK in support of the client and market first agenda and take a leading role in client retention initiatives and own the customer service activities for the business.

Key Responsibilities

  • Oversees the daily activities of the order desk function including order management, customer service and business development
  • Supervises business development and order management functions
  • Proactively monitors workload and balances the teams to meet or exceed monthly targets and client retention targets
  • Owns results related to timely and accurate production of quotations, proposals, orders, issuance of compliance certifications, and contracts for team
  • Takes a leading role coordinating with internal departments for order fulfilment
  • Responsible for ensuring timely and effective problem resolution for client base
  • Demonstrate proficiency with Enterprise Resource Planning system for the purposes of maintaining customer quotes, orders and account information
  • Sets goals and objectives for staff that support the business development and global order management agenda
  • Manages the staff directly to ensure sales targets are met or exceeded, quotes and orders are processed according to agreed KPIs
  • Communicates and reports on sales target results, quotes and order status
  • Acts as a key team member of Global LE West International Order Desk function
  • Leads the recruitment, training, performance management, and development of assigned staff
  • Daily assessment of assigned account management team’s workload; prioritising activity based on pre-determined objectives
  • Interact with related departments within fulfilment center to ensure customer service and sales issues are resolved
  • Assist with identification of training needs and help to facilitate on-going training activities for the client services managers and order desk executives
  • Observe staff members’ to ensure they are succeeding with qualitative goals and objectives
  • Demonstrate proficiency with use of ERP system, including the maintenance and reporting of sales, quotation and order processing data
  • Document all process and procedures for quote creation and order management function up to the point of order release to the warehouse
  • Other duties as assigned

Qualifications

•             Bachelor’s degree in business, supply chain or related field

Required Skills and Knowledge

  • Account management, customer service skills and experience in maritime industry
  • Experience in managing and motivating staff
  • Extensive knowledge of the sales and order process including fulfilment and logistics of global delivery in the maritime industry
  • Proven analytical skills, ability to determine market drivers and ability to work effectively in cross-functional teams
  • Experience managing an inside sales or customer service organisation strongly desired
  • ERP, CRM and/or system process development and improvement expertise
  • Experience with prescriptive and/or pharmaceutical order processing and fulfilment preferred, global experience preferred
  • Demonstrated ability to manage multiple tasks and projects simultaneously with a sense of urgency
  • Proven ability to prioritise tasks based on complex matrix of criteria to ensure orders are processed to meet contractual obligations and commitments

 

Required Work Experience

  • Knowledge and experience of maritime industry
  • Background in order processing, fulfilment and/or supply chain preferred
  • Demonstrated technical competency including but not limited to computer analysis, statistics, data collection, problem formulation, data interpretation and forecasting
  • Demonstrated ability to work effectively in a global team environment
