About the assignment

In this assignment, together with your team, you secure the administrative and organisational tasks and requirements are met and the optimal administrative processes and developed and followed within the area and in alignment with other areas in the organisation.

To be successful, finding solutions and getting things done comes easy. You have a genuine interest in people and a passion for simplifying everyday work life for co-workers. You are motivated by finding and ensuring structure, prioritising and securing accuracy while at the same time having a track record of being a team player that establishes and maintains good relations and collaboration with all relevant stakeholders.

As Administrative Support you will:

  • Support managers by taking care of assigned administrative tasks.
  • Support human resource related tasks, including the introduction of new co-workers.
  • Support the Business Navigation function with various tasks, such as invoice handling.
  • Carry out practical and administration tasks including organising and facilitating meetings and other events. Handle contact lists, distribution lists, common meeting calendars, etc.
  • Take notes in applicable meeting forums.
  • Contribute to activities aimed at increasing awareness of the department’s goals and ambitions using our internal communication channels.
  • Enable a good working environment within the department and be a spokesperson for office-related matters.
  • Make sure the administrative information flow and routines within the department are secured.
  • Engage in or lead various projects.

Qualifications

About you

You have experience leading projects and working in a process landscape with a good understanding of IKEA ways of working. You have gained knowledge about IKEA processes, tools and working methods and have been successful in working with office management, meetings planning, project management and administrative compliance.

You have an ease of working assignment based in a process landscape. As you will collaborate with and support experienced colleagues from across IKEA organizations, you are already valued for your people skills and ability to build trustful relationships across a wide range of stakeholders.

We expect you to have a good understanding of the IKEA vision, IKEA Concept and IKEA business idea. You always stand for IKEA culture and values.
