The Instituto Health Sciences Career Academy (IHSCA) provides an education focused on preparing urban youth to succeed in competitive colleges and universities, obtain job-readiness certification for entry-level positions with higher wages in health care, and gain new awareness of and seek out a healthier lifestyle.

In 2016, IHSCA achieved a Level 1 rating from CPS recognizing it as a "high performance" school and "a good choice" for families and students. IHSCA students complete a 32-credit curriculum with additional math and science requirements along with English and Spanish instruction all four years. In additional to classroom instruction, students participate in a number of unique career exploration activities including internship programs, experiential projects working with professionals in the field, guest speakers, and more.

Our school offers a variety of supportive services, chief among them the in-depth guidance provided by IHSCA advisors and educators. Our advisors begin working with students during our required summer bridge program before 9th grade, then stay dedicated to the same group of students throughout all four years of high school to build a trusting relationship and provide quality, tailored support. Given that our goal for students is not only high school graduation, but also college graduation, IHSCA provides Fifth Year advising, helping students transition through their first year of college.

Job Description

The Registrar reports to the principal and will be responsible for accurately gathering, recording and analyzing key performance data that is highly important to Instituto’s organizational success. The Registrar’s primary responsibility includes managing data processing, data accuracy, and continuing the development and implementation of IMPACT/ASPEN (student data system). Additionally, the Registrar is responsible for registering, withdrawing students, maintaining accurate grade and attendance records, and collecting data for program implementation, and creating and maintaining the master schedule. The Registrar processes record requests and transcripts for incoming and transferring students. The Registrar generates report cards and verifies credits earned to fulfill graduation requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Student Enrollment

  • Keeping abreast on the CPSGo admissions process
  • Assisting the Recruitment  Coordinator in managing Admissions
  • Assisting the Recruitment  Coordinator in Sending acceptance letters and waiting list correspondence to prospective families
  • Assisting the Recruitment  Coordinator in coordinating projections with elementary schools for all incoming students
  • Requesting student records from elementary schools
  • Ensuring intake documentation are submitted by all families
  • Processing enrollment in IMPACT/ASPEN
  • Enrolling students in courses

Maintain Student Records

  • Ensuring the accurate collection of current program data in school databases and/or IMPACT/ASPEN
  • Keeping and maintaining student records
  • Filing correspondence between the school and families
  • Create and maintain master schedule

Compliance Reporting

  • Ensuring that IHSCA remains in compliance with federal and state mandates
  • Reporting all appropriate information through IMPACT/ASPEN
  • Completing lunch forms for CPS
  • Providing other additional reports as required by CPS

Data Analysis and Report Generation

  • Generating transcripts and other student related information
  • Generating weekly progress reports

Manage IMPACT /ASPEN

  • Inputting master schedule into IMPACT/ASPEN
  • Requesting IMPACT/ASPEN accounts for staff
  • Coordinating IMPACT/ASPEN training for teachers/staff
  • Entering student demographic information

Receptionist

  • Answering phones and transferring calls to appropriate staff
  • Greeting IHSCA visitors, guests and parents
  • Notifying staff of their guests/visitors
  • Providing courteous customer service to IHSCA families
  • Documenting and verifying early dismissals
  • Other duties as assigned

Qualifications

·         Bachelor’s degree in education

·         Professional educator’s license (preferred)

·         Two years teaching experience in bilingual education 

·         Technologically literate including using Microsoft Office is required

·         Ability to maintain a high sense of confidentiality

·         Ability to work with a diverse group of people

·         Ability to work as a member of a team

·         Exceptional organization and time management skills

·         Excellent oral and written communication skills, bilingual English/Spanish preferred

·         Dependability and punctuality

·         Ability to adhere to deadlines, react to unpredictable events quickly and efficiently, be resourceful, manage conflict and challenges

·         Advanced skills with Microsoft Office
