Job Description

Distribution Supervisor 

Job Summary 

To assist in leading a team in all aspects of distribution, to provide a first-class distribution service to all LS Aus customers. To ensure that equipment and staff are utilized effectively to maintain ultimate service levels (Customer TAT) and achieve quality shipping outputs.

Supervise Team Leaders and team of Distribution Operatives working across shifts, plus casual workers during peak periods.

Supervises & co-ordinates Shipping and Receiving services and administrative functions.

Co-ordinates associates activities engaged in verifying and keeping records on incoming and outgoing shipments and preparing items for shipment.

Studies shipping notices, bills of lading, invoices, orders, and other records to determine shipping priorities, work assignments, and shipping methods required to meet shipping and receiving schedules, utilizing knowledge of shipping procedures, routes, and rates.

Duties

Oversees distribution operation, incoming and outgoing shipping activities to ensure accuracy, completeness, and condition of shipments.

Scrutinises records of unfilled or problem orders

Determines appropriate routing according to established schedules and weight limits. Posts weight and shipping charges. Assists in preparation of bills of landing / customs documents.

Inspects shipments to ensure compliance with shipping specifications

Directs movement of shipments / receivables from shipping /receiving to storage and work areas.

Oversees all functions and operations of the Shipping and Receiving area while supporting facilities / supplies / parts inventory

Inspects material / manual handling equipment for defects and notifies maintenance personnel or contacts outside service facility for repair

Assists associates in shipping and receiving activities and prepares, packages and ships requested packages per shipping / courier / export guidelines during staff shortages.

Performs data entry, filing and maintenance of documentation supporting all Shipping and Receiving transactions

Reviews incoming deliveries for accuracy and completeness.  Compares identifying information and counts, weighs, or measures items of incoming and outgoing shipments to verify information against bills of lading, invoices, orders, or other records

Examines incoming and outgoing shipments, rejects damaged items, records shortages, and corresponds with shipper / customer to rectify damages and shortages

Provides data for monthly metrics and discusses with Snr. Operations Manager and Operations Supervisor, to assess work volume and address all operational concerns regarding receiving issues with Finance and Sales (volume packages received and shipped etc).

Works with Couriers, Customs and Brokers as needed to resolve any shipment issues

Acts as a liaison to Client Services Team, in providing technical or logistics guidance to customers and service providers - Provides guidance to customers on shipping options to minimize unnecessary shipping costs

Collaborates with Corporate Shipping & Receiving to align processes and procedures

Serves as a Shipping & Receiving site representative during interactions with all cross functional groups, as required

Monitors and evaluates service performance and provides recommendations and participates in cost saving and improvement initiatives

Maintains a positive relationship with all the members of the department and customers while promoting a positive team environment

Provides direction and leadership to all shift associates

Identifies, organizes, plans and allocates resources and work activities and output

Analyzes staffing needs and delegates work based on volume requirements in assigned departments

Assist Senior Operations Manager on projects / work activities when required

Hold regular shift briefings & attend other business or communication meetings

Interview and select associates for hire and/or promotion

Trains staff in Shipping & Receiving procedures, supervises and performance manages, completes annual reviews.

Orders, stocks, organizes and maintains general shipping supplies, warehouse, mail area supplies

Performs other duties as assigned, including but not limited to light facilities duties

Schedules and coordinates pick up of all recyclable materials / rubbish

Maintains compliance with corporate, safety, security and regulatory policies.

Acts to ensure a safe working environment, as required and associates perform all tasks in a safe manner.

To be responsible for your own Health and Safety and be aware of factors affecting your associates in order to maintain a safe environment. 

Maintain accurate records and reports of all incidents that occur during shift and to report any accidents, potential hazards to your Line Manager immediately.  

Qualifications

Knowledge, Skills & Abilities:

Ability to invest time, as required, expediting or completing assignments which may necessitate working evening and / or weekend hours as necessary to meet business demands

Familiarity with shipping, import and export and associated compliance regulations

Ability to plan, organize, prioritize and carry out work duties with minimum supervision.

High level computer skills in Microsoft Office Suite – Word, Excel, PowerPoint and Outlook with strong background in database systems.  Ability to learn new software and systems as needed

Knowledge understanding of shipping  requisition submissions and order generation systems

Strong written and verbal communication skills.  Proficient with writing well-formulated emails and notifications. 

Excellent interpersonal skills with experience dealing with a diverse workforce.  Ability to effectively communicate with employees, suppliers, couriers & customers.

Strong ability to organize assigned tasks in a high paced environment and concurrently monitor tasks / assignments with others that may impact timely completion.  Ability to effectively manage multiple tasks and activities simultaneously.

Education & Experience:

College level education

Minimum 3 years’ experience in a Shipping/Receiving environment or equivalent work experience.

Minimum 2 years Supervisory experience of a small team

Operates Powered / Industrial Equipment as needed

FLT license holder desirable

Physical / Mental Demands:

  • Ability to lift/carry in full range of motion up to 60lbs as needed
  • Ability to push/pull in a warehouse environment up to 70lbs force to push as needed
