Job Description

This role is based in our Boulder, CO office 

New Hope Network is seeking an Event Specialist for its Health & Nutrition in-person events, specifically Natural Products Expo West and Newtopia Now. The Event Specialist will support and execute various parts of the events to help drive efficiency and growth of the events. This position is best suited to a creative, self-motivated and confident individual who has a strong ability to multitask, is happy to work individually and as part of a team, and who is willing to fully immerse themselves in the events community.

Core Responsibilities:

Meeting Space Management

  • Oversee affiliate meeting requests across all contracted hotel properties.
  • Strategically allocate and coordinate meeting room inventory throughout the campus, including Hilton, Marriott, and Anaheim Convention Center facilities.
  • Administer Private Appointment Rooms (PARs) and Hosted Buyer meeting spaces, collaborating with Sales and Operations teams to ensure optimal utilization.

Strategic Partnerships & Trade Relations

  • Collaborate with the Health and Nutrition Partnerships Team to maintain current and accurate partnership agreements.
  • Serve as primary liaison for Partner Programs, coordinating cross-functionally with Operations, Sponsorship, Marketing, and Sales departments to deliver program elements according to established specifications.
  • Establish program requirements and ensure proper execution within budgetary parameters
  • Collect logos and coordinate with Marketing to maintain consistency of Partner Programs information across all platforms, including website, email communications, and event agendas.
  • Process financial documentation for partnership arrangements.
  • Oversee partnership budget management, including regular forecast updates and financial tracking.

Misc.

  • Internal Housing Block: Assist in the management of our internal housing block by tracking requests and facilitating approvals for group housing requests.
  • Assist with the testing of event technology platforms to ensure show initiatives are properly implemented.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree in related field (preferably event planning, marketing, hospitality, and/or business).
  • Highly organized, detail oriented and able to execute demanding, simultaneous, multi-show deliverables in a mutable environment.
  • Requires strong communication skills, professionalism, positive attitude, and ability to work with clients, vendors, and internal team members.
  • Experience with Microsoft Office, Salesforce, Swapcard, and Event Registration Systems Convention Data Services (CDS) is a plus.
  • Ability to work independently as well as part of a team while delivering accurate and on time results. 
  • Travel to conferences and tradeshows is approximately 2-4 times per year.
  • Must be able to be on your feet for 12+ hours per day during shows.

The salary range for this role is $55,000- $62,000 based on experience.
