Job Description
This position in Event Operations is highly detail oriented – we’re looking for an individual who has a keen eye for minute detail, enjoys collecting and disseminating details, is incredibly organized and can communicate confidently on calls and emails with high profile individuals.
Experience with the following will be helpful to this individual for success in this role: event experience, working with talent, reading contracts, proofreading and editing.
- Work closely with event content lead and producer to provide speakers with full, accurate and complete event itineraries and details for their stage time
- Closely read, understand and execute speaker contracts or agreements
- Communicate directly with speakers or their teams to confirm event details
- Collect speaker materials (photos, bios, session content) and update event agendas, website, and app
- Review print and digital marketing materials for accuracy and completion
- Work with event operations leads on speaker hotel needs, registration, ground transportation and onsite event logistics including speaker movements, meet & greets, etc.
- Schedule and coordinate content and production calls
- Work with production team for speaker requirements, rehearsals, media.
- Confirm and source any onsite needs including awards, merchandise for signings, book purchases and more
- Manage related speaker expenses and update speaker budgets
- Assist production team with media collection, video management and other multimedia related tasks including digital signage editing
- Onsite event duties include:
- Management of the speaker green room and serving as host backstage to greet speakers as the arrive
- Direction, if needed, ensure they are on time for rehearsals and mic ups
- Working with our marketing lead and/or event photographer to arrange photos
- Coordinate merchandise signings
- Coordinate meet & greet logistics, staffing and line management
- Coordinate hotel security needs, if required
The pay range for this position is $50,000 - $60,000 depending on experience

Qualifications
- High emotional IQ with an ability to stay calm under pressure.
- Demonstrated ability to work within a team environment.
- Experience in events
- Positive attitude, flexibility, and adaptability.
- Knowledge / proficiency in computer systems – Microsoft Office & PC or Mac operating systems.
- This role will require the use of Photoshop (for cropping/sizing photos) and Keynote (for speaker presentation management and digital signage) and requires the use of a Mac.
- A team player who is willing to pick up duties outside of the described role
- An active listener who is always looking to exceed customer expectations
This position involves travel to 6-8 events annually. Most of those are domestic US events, with the possibility of international travel.
