Job Description

Role Profile

Reporting to Regional Head of Shared Services who oversees the day-to-day operations of Informa’s Finance Shared Services Centre in Asia.  The Assistant will support the Regional Head and provide administrative support to the full team.

 

Key Responsibilities

The Assistant is expected to assume the following key responsibilities plus any other reasonable duties as required:

Office management:

  • Provide administrative support to the China Team
  • Organise travel for the team
  • Assist in daily general office administration, including but not limited to:
  • Manage the office, keeping it tidy, working and replenished with all required supplies
  • Coordinate and maintain records for staff phones, office keys and access cards
  • Monitor staff absences
  • Handle incoming and outgoing mail, including couriers
  • Meet and greet visitors
  • Assist in creation and receipting of purchase orders and invoicing
  • Filing as necessary
  • Take meeting minutes as required in meetings
  • Assist in coordinating and organizing company and team events and meetings
  • Assist with other general administration as required
  • May need to report duty on Saturday, Sunday and Public Holidays as needed

 

SSC administrative support:

  • Manage the onboarding of new team members and the departure of leavers
  • Manage the Asia supplier database, including cleansing the data to remove duplicates as well as ensuring all records are accurate and fully updated
  • Support the team in preparation and update of service level metrics
  • Assist with other general finance tasks as required

 

Qualifications

What we’re looking for

Qualifications & Experience

  • Diploma holder in Business Administration or a related discipline
  • Detail-minded, flexible, self-motivated and able to work independently and as part of a team
  • Good communication and interpersonal skills
  • Fluency in written and spoken English and Chinese
  • Proficient in MS applications (Outlook, Word, Excel and Power point)
  • Ability to manage owe deadline and priorities, whilst delivering a high standard of work and supporting team members when they require assistance.
