Job Description

An executive assistant to provide executive and local working culture support to SVP and leadership team, as well as general administrative tasks.

Role Accountability and Duties:

• Serve as Informa’s main contact for suite within a co-working space, light office management responsibilities

• Receive and distribute mail

• Process and code invoices

• Coordinate quarterly local volunteer/service project events/opportunities

• Serve on Office & Culture Crew

• Execute event plan for semi-annual, two-day portfolio conferences. Tasks include: negotiate and manage hotel contract and colleague room reservations, manage F&B, serve as on-site liaison with venue, assist with post-event feedback acquisition and analysis, assist with invited VIP guests and manage off-site party

• Serve on the planning committee for local edition of annual corporate event

• Monitor and assist hiring managers with new colleague onboarding plan, to include distribution of pre-boarding welcome kits

• Assist with travel for SVP as needed

• Manage SVP’s calendar

• Assist with agendas for bi-weekly leadership team meetings

• Arrange and schedule conference calls for members of leadership team

• Create and manage portfolio-wide vacation calendar

• Approve expense reports as needed and other support for SVP

• Opportunity to travel to trade shows, in varying on-site roles

• Provide general administrative support to leadership team as needed

• Take on ad-hoc administrative projects as needed

• Provide support to other executive assistants (vacation coverage, collaborative projects, etc). Communicate need and coordinate same for self.


What you bring to the team: 

• Minimum of five years of administrative experience or professional office experience

• Excellent time management skills

• Proficiency with Word, Excel

• Proficiency with PowerPoint, Salesforce, SAP is a plus

• The ability to work well without close supervision

• The ability to multitask

• Keen attention to detail

• Strong organizational skills

• Excellent customer relations skills

• The ability to work away from home overnight as needed

• The ability to work long hours during shows

• Attendance in co-working suite two days per week minimum
