Job Description

·         Act as key contact of Informa with various government bodies for permits including but not limited to: the Department of Tourism and Commerce Marketing (DTCM) (Dubai), Department of Economic Development (DED) (Dubai), Abu Dhabi Tourism and Culture Authority (ADTCA) (Abu Dhabi), Saudi Exhibition & Convention Bureau (SECB) (Saudi) and Saudi Conventions and Exhibitions General Authority (SCEGA)

·         Keep permit process updated as per guidelines

·         Ensure Show Team are kept fully up to date with permit information

·         Communicate permit deadline(s) to Show Team and monitor that cut-off dates are adhered to

·         Speaker file management: Collect, file and upload speaker files onto the DTCM portal

·         Track the submission of documents for speaker permit

·         Along with Informa’s Public Relations Officer build relationships with government bodies and partners; troubleshoot where required

·         Maintain the speaker data base and speaker files across events

·         Act as accreditation support by assisting in local and international accreditation application and post event submission

·         Support the show team with speaker related matters: Update flights and rooming lists

·         Ensure all allocated operational tasks are carried out on a timely basis according to individual project plans and within deadlines

·         Manage event expenses and invoice payments where applicable, update budget and invoice trackers

·         Create an maintain show specific project plans in the agreed format for review and sign off by the individual Operations Manager

·         Under the guidance of senior team members produce onsite documentation including temp staff briefings, conference layouts, speaker welcome packs, staff handbooks including safety information, etc

·         Coordination of onsite deliveries for the show teams

·         Participate at events (digital & live), performing ad hoc duties as instructed by senior team members

·         Support digital event delivery including speaker and platform management: Review front- and backend data for accuracy (conference programme, speaker details, streaming links), platform testing and trouble shooting

·         Assist in updating how-to-guides, FAQs and online resources for speakers, moderators and delegates

·         Assist with post-event reporting and analysis through collection and recording of requested data

·         Ensuring you are working within the company’s Health & Safety, Security & Sustainability guidelines at all times

·         Assisting with the implementation of internal and external Service Level Agreements.

·         Perform any other duties commensurate with the grade and level of responsibility when requested by senior members of the Operations team

Qualifications

·         6-12 months experience in an administrative role within the event management industry

·         Experience and/or understanding of the exhibition industry, venues and contractors

·         Excellent time management and organisational skills

·         Accurate and precise attention to detail

·         Comfortable working with multiple teams: in-house and remote

·         Ability and willingness to travel to events as required

Skills required

 ·         Fluent in Arabic & English, any other language would be appreciated

·         Intermediate to advanced skills in Microsoft Office, especially Excel and Word

·         Strong interpersonal, oral and written skills in English

·         Forward-thinking, solution-minded problem solver, flexible and pragmatic
