Job Description

The Sourcing Support Specialist is responsible for supporting the Sourcing Sales Managers primarily with administrative functions such as contract entry, visa letters, confirming all paperwork is completed, digital event entry into platform, various proofing, change sheets, billing adjustments, International representative/Organizer communications, following up on materials and kits needed for sales, and additional projects as needed.

This role will enter and process all contracts for Sourcing for both the live and digital events as well as sponsorships. This role is critical to supporting the sourcing business, as they will act as the liaison between the Sales Managers,  VP of Events, Sales Ops, Billing and Reps/Organizers. Their performance will be evaluated based on internal customer service and administrative duties being thorough, reliable, efficient and time effective. You will have the opportunity to develop your awareness of the supply chain and global reach of the fashion industry building greater insight over time. Further sourcing and global fashion expertise will be developed by collaborating with Sales Managers and VP of Events.   

Role Accountability and Duties:

  • Retain contracts from existing customer accounts with engaging emails and sometimes phone conversations while guiding them through contract process
  • Execute on assigned retention campaigns as needed
  • Support on-site existing customers by providing exceptional customer service
  • Distribute customer insight to the Sales Managers and  VP of Events
  • Keep Sales Managers and  VP of Events informed of the customer pipeline and critical information through accurate use of Salesforce
  • Maintain accurate exhibitor information in Salesforce and proof digital and physical contracts, show guide information and listings
  • Maintain accurate pipeline, sales activity and customer information within Salesforce (CRM system)
  • Support Finance/Billers in resolving customer debt as a final escalation point as well as helping to collect deposits or balances
  • Manage reports via salesforce as well as excel to support the sales team as needed
  • Assist in floor planning process and collaborate with Sales Managers in exhibitor placement
  • Create floor plan change sheets and proof floor plans
  • Help with onboarding to the digital event platform
  • In partnership with the Sourcing Sales Managers, interface with government officials or agencies that provide subsidy to Informa Fashion Group
  • Execution of paperwork necessary to meet subsidy requirements and assist in the execution of government sponsored special events and seminars as needed
  • Serve as intermediary between Sourcing Sales teams/International Organizers/ International Reps to ensure timely communication and follow up
  • Support initiatives in line with Sourcing sales strategy and objectives
  • Collaborate with the sales team in entering market trip leads into Salesforce
  • Help process all Int’l rep commissions
  • Performs additional duties as assigned

As a Sourcing Support Specialist, you will be evaluated on:

  • Administrative tasks completion and support

Qualifications

  • University Bachelor’s Degree
  • 0-3 years’ experience in a B2B sales team or Fashion support role and proven ability to exceed expectations on administrative tasks
  • 0-3 years’ experience in administrative support work and assistance
  • Experience managing multiple customers and/or team members
  • Strong interpersonal skills, high level of passion and enthusiasm for the job
