Job Description

Why is this role important at Infobip?

The main purpose for this role is to provide administrative support to achieve efficient operation of the Infobip business in the Nordics and Baltics. Your work plays a crucial role in ensuring continuous success of the company and the tasks will vary from general to very operational.

What will you do?

  • Serve as the point person for office manager duties, including maintenance, mailing / post, supplies, bills, errands, shopping
  • Organize office operations and procedures and schedule meetings and appointments as necessary
  • Order stationery, office equipment and representation packages / gifts
  • Partner with technical services to maintain the office condition and coordinate necessary repairs
  • Partner with travel to manage accommodation availability and coordinate guest arrivals and departures
  • Partner with POP to update and maintain office policies as necessary
  • Coordinate with IT Tech on all office equipment
  • Ensure that all items are invoiced and paid on time
  • Manage office budget, ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees’ queries regarding office management issues (e.g. stationery, repairs, etc.)
  • Work with Sales to arrange webinars, breakfast meetings and events
  • All other duties as required

Qualifications

More about you:

  • You speak fluently to clients and colleagues alike and have a great command of English and Swedish (Finnish highly advantegeous).
  • Understanding of basic financial concepts.
  • You have a degree / diploma in Business, Marketing, Administration, Finance or Accounting.
  • Excellent computer skills (proficient on MS Word, Excel and PowerPoint).
  • Excellent organizational skills, flexibility and a dynamic personality.
  • High accuracy and attention to detail.
  • Ability to prioritize multiple assignments and interact effectively with all levels of the organization.
  • Ability to work well as a team member in a fast paced environment.
